CRM Administrator (HubSpot) (Canada, Remote)
The CRM Administrator (HubSpot) is a key operational and strategic contributor responsible for managing, maintaining, and optimizing Multiviews use of HubSpot CRM. This role ensures that the platform capabilities are fully leveraged to drive user adoption, revenue growth, improve client experiences, support cross-functional goals, ensure data accuracy, and improve efficiency.
Reporting to the Director of IT, this position combines technical CRM administration with process improvement, data stewardship, user support, and stakeholder collaboration. The ideal candidate is proactive, detail-oriented, and thrives on improving systems and workflows with both technical skill and strong interpersonal communication. Able to engage and work with internal personnel at all levels throughout the organization. The CRM Administrator will work cross-functionally to enhance reporting, automation, and efficiency while driving best practices for CRM utilization.

WHAT YOU WILL DO:
CRM Management & Optimization
- Administer the day-to-day use of HubSpot across Sales, Marketing, Client Success and Operations teams.
- Manage user setup, permissions, team hierarchies, pipelines, custom properties, and integrations.
- Audit and optimize existing HubSpot configurations, including pipeline
- Stay current on new HubSpot and marketing hub automation features and industry best practices, recommending changes to improve usability and value.
Data Stewardship & Hygiene
- Perform regular audits of CRM data and processes to ensure accuracy, completeness, and consistency.
- Identify and reconcile duplicate or outdated records; validate data sources and automate data enrichment where possible. Where applicable, data input validation to bring about data accuracy improvements.
- Define and enforce data entry standards and usage conventions to promote uniformity across CRM fields.
- Collaborate with IT and Operations teams to integrate CRM data with third-party systems, databases, and tools (e.g., ERP, analytics platforms, customer support systems - Zendesk, Wrike).
Process Improvement & Automation
- Analyze current sales, marketing, and customer lifecycle workflows within HubSpot to identify inefficiencies or gaps.
- Work cross-functionally with marketing, sales, client success and IT to ensure best practices in email deliverability and preference management.
- Propose and implement improvements, automation, and integrations that streamline operations and enhance user productivity.
- Design and build workflow automations for lead routing, nurture sequences, customer onboarding, renewals, and re-engagement.
Reporting & Performance Analytics
- Create, manage, and refine dashboards and reports that track key operations metrics (supporting Marketing, Sales, Client Success, and Operations teams).
- Provide insights and recommendations based on data trends and user behavior.
- Ensure consistent campaign tracking, lead source and pipeline influence attribution and marketing ROI reporting.
User Enablement & Support
- Serve as the internal HubSpot expert and primary support contact for user questions, training, and troubleshooting.
- Deliver training sessions, develop user documentation, and maintain CRM usage guidelines.
- Promote CRM best practices to encourage adoption, productivity, and compliance across teams.

YOU ARE SOMEONE WHO HAS:
- Bachelor's degree in marketing, Business, Information Systems, Communications, or related field.
- 5+ years of hands-on experience with CRM administration.
- Experience with building and maintaining CRM workflows, reports, custom properties, and integrated tools, including using HubSpot CRM.
- Experience defining, building and maintaining a CPQ and other cross-team automated workflows, process and associated tooling
- Demonstrated experience cleaning, managing, and segmenting large data sets.
- Attention to detail
- Solid understanding of CRM best practices in SaaS industry
Technical Proficiencies:
- HubSpot CRM, Marketing Hub, Sales Hub, and Service Hub (proficient to advanced).
- Data tools: Excel (advanced), HubSpot import/export, deduplication, and data cleansing tools.
- Proficient with API integrations, webhooks, or tools used to integrate systems.
- Basic understanding of HTML/CSS and email template design is an asset.
- Experience in B2B SaaS implementations of CRM solutions.
- Familiarity with GDPR, HIPAA, or data privacy requirements is a plus.
