Sales and Events Coordinator
Position Summary
We are seeking a highly organized, detail-oriented, and people-focused Sales & Events Coordinator to support the Sales & Conference Services Team at Eldorado Resort. This role is key to ensuring seamless coordination of group bookings, events, and internal processes—while providing exceptional client service and meticulous documentation. Key Responsibilities
  • Client Support & Sales Coordination
  • Acts as the primary coordinator for the Sales team while also providing coordination assistance and aid to the Conference Services team.
  • Meet with clients in the absence of Sales or Conference Services Managers, ensuring professional communication and accurate information sharing.
  • Assist with the preparation, communication and timely completion of proposals, contracts, BEOs, group resumes, and rooming lists as required.
  • Conduct site inspections and participate in FAM tours, industry events, sales blitzes, and client entertainment, while taking on small group contracts as required & assigned by the DOS.
  • Assist with special arrangements for VIP guests and group arrivals, including signage, welcome packages, and coordination with the reservations/front office department.
  • Refer sales to Argus Hospitality sister properties when Eldorado Resort is unable to accommodate.

Administrative & Office Support
  • Serve as the first point of contact for the Sales & Conference Services Department, managing incoming calls and emails.
  • Act as a liaison between Sales, Conference Services, and operational departments to ensure smooth event execution and guest satisfaction
  • Coordinate the handoff of group bookings to Conference and Group Services, ensuring all required documentation is accurate and complete.
  • Create and distribute internal BEOs and reports, ensuring data accuracy and timely communication across departments.
  • Copy, file, and organize internal documents and maintain an orderly office in accordance with Health & Safety standards.
  • Manage inventory of promotional materials and general office supplies for the Sales and Conference Services Department.
  • Coordinate logistics for tradeshows and off-site events, including packing, shipping, and post-event follow-up.
  • Prepare sales kits, organize donation/sponsorship fulfillment, and support the team with other duties as assigned.

System & Data Management
  • Assists in the maintenance and auditing of our Lead Tracking Database. Captures information on all lead inquiries, ensuring timely follow-up, taking an active interest in data reporting / insights.
  • Utilize the Opera Sales & Catering System for data entry, reporting, and document generation.
  • Maintain merge documents and custom reports; acting as the Opera champion for the property, ensuring data integrity and generating daily, weekly, and monthly reports as needed.
  • Perform other duties as assigned by the Dir. Sales, Dir. Conference Services, or Sales Managers.

Qualifications & Requirements
  • Warm, friendly and approachable with a natural curiosity for understanding client needs with a natural flair for building relationships.
  • Strong written and verbal communication skills, with excellent attention to detail.
  • Previous experience in hotel sales or reservations is an asset.
  • Highly organized and able to multitask effectively in a fast-paced, dynamic environment.
  • Proficient in Microsoft Office (Word, Excel, Outlook); accurate typing skills required. Experience with Opera PMS and Sales & Catering is a strong asset.
  • Must demonstrate the ability and willingness to learn new software programs as required.
  • Comfortable working in an open office and collaborating within a flexible team environment.
  • Flexible availability, including evenings & weekends during peak conference periods & events.
  • Must be legally entitled to work in Canada without restriction.
