Position Overview
We are seeking a passionate and dedicated Donations Associate to join our team at Inn from the Cold. The Donations Associate plays a key role in soliciting gifts, expanding giving programs, and fostering long-term donor relationships through thoughtful engagement. This role supports the Fund Development team in achieving strategic fundraising goals by executing tailored solicitation strategies and stewardship activities based on the type and level of gift. The Donations Associate will also serve as the backup for processing all gifts received by the organization.


What Youll Do

  • Support the stewardship and relationship management of current and prospective donors.
  • Collaborate with the Manager, Fund Development & Donor Data Integrity to enhance the donor experience and recognition.
  • Assist in preparing proposals and materials that align donor interests with funding opportunities.
  • Accurately process donations and ensure timely and appropriate acknowledgement.
  • Draft and prepare personalized thank-you letters and gift acknowledgements as required.
  • Identify and cultivate new opportunities for revenue and Gift-in-Kind donations through prospect research.
  • Coordinate Gift-in-Kind donation logistics, liaising with donors and working with relevant INN departments to ensure alignment with current critical needs.
  • Manage general inquiries received through the INNs donation phone line and inbox, and redirect donors as needed.
  • Maintain and update donor records as required.
  • Perform data entry, proofreading, photocopying, and filing tasks as needed.
  • Provide support for fundraising events, donor meetings, internal town halls, and team-building activities.
  • Attend external events and represent Inn from the Cold as a Brand Ambassador.
  • Provide support to the Development Associates & Event Coordinators during absences or when assistance is needed with donor portfolios & events.


This position description reflects the general duties of the role, but is not intended to include all duties that may be inherent in the position. The Donations Associate may be asked to perform other duties as required or assigned.


What You Bring to Our Mission

Bachelors degree in a related field such as Business Administration, Non-Profit Management, or a comparable discipline and/or 13 years of relevant experience in a similar or related role within a non-profit or a corporate environment.

  • Experience with Raisers Edge or other donor management databases is an asset.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Excellent oral and written communication skills, with strong interpersonal skills and a high level of professionalism.
  • Ability to thrive in a fast-paced environment; quick to learn and adapt to shifting priorities.
  • Proven ability to manage multiple, diverse, and competing priorities while meeting deadlines.
  • Ability to work independently, exercising sound judgment and initiative with minimal supervision.
  • Strong commitment to maintaining confidentiality and discretion at all times.
  • Exceptional attention to detail and accuracy.
  • Valid drivers license and access to a vehicle considered an asset.
  • Willingness to complete required INN training, including but not limited to: Indigenous Awareness, Brain Story, Conflict De-escalation, and Harm Reduction.
