Parks Foundation is seeking aProject Coordinatorto support the Projects Team and assist with the coordination and management of park and pathway development projects. This role will also be responsible for managing legacy projects and being a steward for the Rotary/Mattamy Greenway pathway project.

Responsibilities
Project Planning Administration:
- Provide administrative and project coordination support to the Projects team.
- Assist with all aspects of park development and pathway projects.
- Preparing agendas, completing meeting minutes, and ensuring that all paper/electronic filing is maintained and complete.
- Support with the coordination of securing the necessary regulatory approvals and permits for project construction.
- Assist with developing comprehensive project plans, outlining critical paths, responsibilities, and progress tracking across all project phases.
- Collaborate with internal teams to identify fundraising opportunities and partnerships for project support, acting as an internal subject-matter expert.
- Support the identification and pursuit of project acquisition.
- Support with planning and producing materials for community engagement activities.
- Support internal teams with donor-related and park events (groundbreakings and grand openings).
Budgeting and Financial Administration:
- Maintain and track project budgets through invoices, change orders, and progress payments
- Create and monitor detailed project budgets, aligning expenses with anticipated revenues.
- Generate reports on project progress and financials for donors, grantors, committees, internally and externally.
- Review and recommend project-related invoices and expenditures.
Contracting and Procurement Administration:
- Support the procurement process for Parks Foundation-led projects, including the review of tendering packages and selection process for consultants, contractors, and vendors, ensuring adherence to established protocols.
- Preparation of consultant, contractor and vendor service contracts for leadership team review.
- Support the evaluation of contract awards, maintaining accurate electronic records.
Construction Administrative Support:
- Attend regular project and site meetings to capture action items and perform field reviews as needed.
Legacy Projects:
- Oversee legacy projects, managing the coordination of repairs and replacement for park assets.
- Monitor the status of the Rotary/Mattamy Greenway to ensure that signage and pathway amenities are in acceptable condition. This may involve biking and walking up to 6 hours per day (several times per month).
Qualifications and Experience:
- Post secondary education in landscape architecture, architecture, planning, engineering, business, construction project management or related fields.
- Minimum 1-2 years of experience in project coordination or project management roles is an asset but not required.
- Must have a valid driver's license and regular access to a vehicle for work.
Skills:
- Proficiency in project planning tools like Excel or similar software and Adobe Creative Suite.
- Strong written and verbal communication skills.
- Strong organizational abilities and the capability to manage multiple tasks under tight deadlines.
- Previous experience in project management or construction administration is advantageous.
Location and Work Hours:
- This is a full-time position.
- This role primarily operates in-person, Monday to Friday from 8:00 AM to 4:00 PM.
- This is an in-person role based at Parks Foundations office: Suite 302, 620 - 12th Avenue SW
- Flexibility in hours and occasional weekend/evening work may be required based on project needs.
