Alexandra Hospital, Ingersoll and Tillsonburg District Memorial Hospital are actively seeking applicants for an Integrated Executive Assistant position. "Integrated" means that the successful incumbent will work at both hospital sites.

The Executive Assistant partners with the President and Chief Executive Officer (CEO) and Chief of Staff to provide confidential executive administrative assistance in order to the achieve the Hospital's Strategic Direction. The Executive Assistant provides administrative support to Medical Advisory Committee (MAC) and other committees (as assigned), as well as administration of the credentialing process of Professional Staff.

Key Responsibilities:

  • Provides confidential administrative assistance to the President and CEO and the Chief of Staff, in achieving the Hospital's Strategic Direction.
  • Provide MAC and other committee support, including preparation and distribution of agenda packages, recording of minutes, sharing/posting of minutes, and necessary follow-up from meetings.
  • Ensure any changes to the Professional Staff by-laws and/or Rules and Regulations are made in a timely fashion, following proper procedure for changes and approvals. Ensures the most up-to-date version is provided when requested.
  • Acts as a central contact for all medical affairs.
  • Provide support to the President and CEO, and Chief of Staff with regards to physician recruitment, requirements, funding, scheduling and meeting planning.
  • Prepare relevant correspondence reports and applications to the Ministry of Health as directed as well as governing bodies as directed (i.e. physicians' restricted licenses, letters of supervision, etc.)
  • Support and administer the credentialing and re-credentialing process to facilitate the appointment and reappointment of the Professional Staff and the delineation of procedure privileges for staff including policy and procedure sign offs, maintenance of compliance logs/records. Support the processes regarding medical students, residents and clerks, following pre-established guidelines.
  • Support initial development of, and then continuously facilitate and administer the databases required to support the Professional Staff Appointment and Re-appointment processes.
  • Maintain corporate records and ensure compliance with required legislation and best practices, i.e. by-laws, policies and procedures.
  • Information management, i.e. coordination of meetings, composition of internal/external communication, database management, filing.
  • Develop effective relationships, i.e. co-workers, volunteers, professional network.
  • Utilizes project management and event planning expertise in the coordination of "special projects" as assigned; initiatives and events.
  • Coordinates MAC and professional staff involvement in the Accreditation process and supports governance quality and process improvement initiatives.
  • Assists in providing vacation coverage of other Hospital Executive Assistants responsibilities from time to time and as requested.
  • Reception and public/employee relations, i.e. facilitates effective triaging of queries and sensitive issues pertaining to the public/employees, determining appropriate action and response, redirecting as needed.

Qualifications:

  • Post-secondary diploma in business administration or related field, or relevant experience.
  • Minimum of five (5) years of experience in providing administrative support at an executive level.
  • Understanding or experience with Board Governance best practice and procedure. Experience with administration of Professional Staff by-laws and rules/regulations is considered an asset.
  • Excellent computer skills, including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Additional knowledge of social media would be an asset.
  • Self-directed, self-motivated, work independently and prioritize work situations.
  • Attention to detail with high level of accuracy.
  • Demonstrates initiative and ability to problem-solving and exercise sound judgement.
  • Ability to work independently, prioritize duties and use discretion and confidentiality at all times.
  • Ability to establish positive interpersonal relationships both within and outside the service area.
  • Strong written and verbal communication skills and the ability to communicate effectively with a diverse range of stakeholders.
  • Excellent organizational, interpersonal and communication skills.

Other pertinent conditions:

  • Salary as per the Non-Union Salary Schedule ($40.98 per hour to $47.94 per hour)
