We are seeking a highly organized and detail-oriented Operations & Licensing Administrator to join our client's team. The Operations & Licensing Administrator will manage key administrative and operational functions to support approximately 1,000 North American stores. Responsibilities include ensuring business licensing compliance, handling legal correspondence, and maintaining financial, vendor, and insurance records with accuracy and confidentiality. This role will also support research for expansion opportunities and organizes corporate social initiatives.

Key Responsibilities:

Business Licensing & Registration

  • Manage and renew business licenses for all stores across North America, ensuring compliance with varying state/province laws and timelines.
  • Register companies and entities as required in different jurisdictions.
  • Conduct research to understand tax, title, and regulatory implications in various provinces for new store locations, and report findings to the leadership team.

Legal & Insurance Administration

  • Handle all correspondence relating to legal resolutions, ensuring timely and professional communication.
  • Manage insurance claims, including slip and fall incidents, with accuracy and discretion.

Vendor & Expense Management

  • Maintain vendor records, entering and updating banking information and essential details in systems.
  • Process invoices efficiently and support expense management for District Managers, ensuring adherence to company policies.

Corporate Reporting & Confidentiality

  • Assist with preparation of annual reports and filings.
  • Maintain strict confidentiality when handling sensitive operational, legal, financial, and personnel information.

Corporate Events & Culture

  • Plan and execute social events to foster engagement and strengthen corporate culture.

Qualifications:

  • Proven experience in multi-jurisdictional licensing, corporate operations, legal administration, or similar roles.
  • Strong knowledge of business registration, compliance, and insurance processes is an asset.
  • High attention to detail, organizational skills, and discretion in handling sensitive information.
  • Proficiency in Microsoft Office Suite; experience with vendor or expense management systems is an asset.
  • Strong communication and interpersonal skills for effective coordination with internal and external stakeholders.
