Key Responsibilities:Administrative Support:
- Support the Operation Department with student insurance, registration, and documentation.
- Collect, scan, file, and manage student documents and records.
- Maintain accurate intake lists and student attendance logs.
- Manage classroom capacity and schedule communications to students.
- Prepare student contracts, certificates, letters of enrollment, and transcripts.
- Archive documentation and prepare reports for submission to government bodies.
- Assist in the day-to-day operations of the school, including campus maintenance.
- Assist with implementation of new systems and maintain organized electronic filing.
- Handle petty cash, track expenses, and prepare reports.
- Open and/or close the campus according to the assigned schedule.
- Greet students, visitors, and staff in a friendly and professional manner, providing campus information and assistance as needed.
- Represent the organization positively to students, suppliers, and visitors/agents.
- Answer phone and email inquiries, handle incoming/outgoing mail, and manage the front desk.
- Maintain a tidy and welcoming reception area.
- Track photocopy usage and manage supply levels.
- Support the Academic Manager and Director with student classing, placement testing, attendance, and progress reports.
- Provide support with class changes, study/work permit questions, and homestay inquiries.
- Distribute course materials and provide technical and logistical support to teachers.
- Assist with classroom setup and resolve minor technical issues; escalate to management or third parties as needed.
- Administer monthly English proficiency and BULATS exams.
- Assist with Orientation Day logistics and periodically update Orientation slides.
- Support intake day coordination, including ID photo taking and materials distribution.
- Maintain clear and professional communication with staff, students, and departments regarding college policies, procedures, and processes.
- Collaborate effectively with internal teams to ensure smooth campus operations.
- Perform other duties as assigned by Management.
Qualifications:
- Strong organizational and time-management skills
- Excellent interpersonal and communication abilities
- Experience in an office or school administrative setting preferred
- Comfortable using email, Microsoft Office, and shared file systems
- Able to multitask and prioritize in a dynamic environment
