We are searching for a highly organized, proactive, and versatile Office Manager to be the backbone of our client's operational efficiency as they set up their new office and steadily add new members to their team. This critical role will provide comprehensive support to the executive team and ensure the seamless day-to-day functioning of the company. Key Responsibilities:
- Provide high-level administrative assistance to the executive team, including complex calendar management, travel arrangements, expense reporting, and preparing confidential documents and presentations.
- Oversee all general office administration, including managing supplies, maintaining office equipment, coordinating facility services, and ensuring a welcoming and productive workspace.
- Support HR functions such as new employee onboarding, maintaining personnel records, coordinating team events, and assisting with recruitment logistics.
- Act as the primary point of contact for basic IT support, liaising with external IT vendors for hardware/software setup, troubleshooting, and system maintenance.
- Manage foundational financial processes, including processing invoices, tracking payments, reconciling accounts, and supporting basic bookkeeping.
- Assist in researching and organizing information related to industry standards, regulatory compliance, and potential R&D programs, contributing to their market adoption strategies.
- Proactively identify and lead various ad-hoc projects to support company growth, such as market research, event planning, process optimization, and strategic initiatives.
- Proven experience (5+ years) in an Office Manager, Executive Assistant or similar administrative role, preferably within a startup or technology-driven company.
- Exceptional organizational skills and meticulous attention to detail, with the ability to manage multiple priorities in a fast-paced environment.
- Strong communication skills (written and verbal) and excellent interpersonal abilities.
- Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and comfort with learning new software/systems.
- Basic understanding of accounting principles and experience with AP/AR processes.
