Job Title: Office Administrator
Location: Sherwood Park, AB
Job Description:We are seeking a highly organized and detail-oriented Office Administrator to join our team. The ideal candidate will oversee various aspects of procurement, inventory management, quoting and invoice management, reception and office management, event planning, and administrative support. This role requires excellent communication skills, the ability to multitask, and a proactive approach to problem-solving.
Responsibilities:
- Procurement Management:Oversee procurement processes, including strategic sourcing, vendor management, and contract negotiation to ensure alignment with the companys needs and standards.
- Annual Software Renewals:Manage renewals for software such as Adobe and Nitro.
- Vendor Relationship Management: Maintain relationships with vendors like Lenovo.
- Inventory Management:Oversee hardware planning with guidance from the Director of Infrastructure & Technology.
- Quoting & Invoice Management: Prepare detailed and accurate quotes for clients, generate invoices based on accepted quotes, and address any discrepancies or disputes related to billing.
- SKU Management & Updates:Manage and update SKUs.
- Reception & Office Management: Welcome and assist visitors, handle incoming calls, sort and distribute mail, shipping/receiving, maintain a tidy reception area, and manage office supplies.
- Event Planning:Organize and coordinate office events.
- Safety Compliance:Conduct monthly testing of fire extinguishers and exit lights and arrange required maintenance.
- Client Appreciation:Send thank-you notes and client appreciation messages.
- Quote Creation & SKU Management: Format and send proposals to prospects, organize files in Halo for easy retrieval, and assist with event logistics.
- Administrative Support:Provide support for MDF paperwork and funding submissions, handle registrations for virtual events and webinars, and manage email reminders and post-event surveys.
Qualifications:
- Proven experience in operations management or a related field.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite and other relevant software.
- Ability to work independently and as part of a team.
