Opportunity
The Administrative Services Coordinator (ASC) is a member of WorkBC Powell Rivers coordinating team. In collaboration with the Employment Services Manager (ESM) and the Client Services Coordinator (CSC), the ASC provides leadership and oversight to the administrative services team (FST/ESA) within Lift Employment Services.
Reporting to the Employment Services Manager, this position leads a team of (2) Front Service Team Members (FST) and (1) Employment Services Administrator (ESA), coordinating administrative services and program delivery to ensure client and contractual needs are met.
The ASC oversees the delivery of WorkBC policy and systems training for WorkBC Powell River and subcontractors administrative needs, directly carries out administration related to Training, Self-Employment, and Wage Subsidy, and carries a client caseload within those administrative services.
Overview
- Hours:35 hours per week
- Shifts:Monday to Thursday, 8am to 5pm, with rotating Wednesday evening shifts of 11am to 7:30pm
- Hourly Wage:$29.40 to start

Responsibilities
Coordination
- Nurture a team culture that is supportive, collaborative, and open. Lean into difficult conversations.
- Support team members in the delivery of client employment services guiding, debriefing, coaching, collaborating, understanding of WorkBC Policy and processes, etc.
- Meet regularly with the WorkBC Coordinator(s) to ensure information flow, engage in planning, improve processes, scheduling, hiring, training, and support team culture development.
- Be one of the points of contact to resolve client issues and receive client feedback.
Administration, Data Quality, and Finance
- Improve and maintain office systems, procedures, and workflows, including scheduling, maintenance coordination, and supply procurement.
- Oversee financial processes such as Outcome Fees, Financial Supports, and Job Starts, ensuring compliance with WorkBC Policy and QA standards.
- Ensure Data Quality (DQ) compliance by conducting regular reviews, resolving or delegating issues, and generating administrative reports.
- Develop job aids, process documentation, and ministry communications in alignment with WorkBC policy and ICM/OES system updates.
- Create and Review Reports related to administrative functioning (Caseload, DQ, Key Performance Measure Reports; Financial Forecasting, etc.)
- Administer Financial Supports (FS), including Job Starts for self-serve (backup for Case Managed Job Starts). Point person for other FS as appropriate.
Client Services
- Understand the full scope of duties of FST and ESA roles, and support program delivery improvements
- Cover team member positions as needed, and/or arrange coverage
Training Services Administration
- Work with referred clients to complete, review and negotiate Skills Enhancement (SE), Self Employment Services (SES), and Community and Employer Partnerships (CEP) agreements.
- Facilitate regular training to support team members in learning new policy, processes, and job aids.
- Participate in committee reviews to evaluate SE, SES, CEP, and WS applications
- Coordinate and case manage SE, CEP, and SES clients, including monitoring, negotiating amendments, reporting and documenting, and liaising with training institutions and Self Employment Contractor
- Request and Process SE, CEP, SES, and WS documentation, records, financial supports.
- Contact clients via the Targeted Referral and Feedback service, or delete as appropriate
Community Liaison
- Encourage and support team members to research and understand community services, including Lift Community Services programs and activities.
- Liaise with funders, businesses, government agencies, and community partners, when required.
Requirements
- Experience in a leadership capacity.
- Model compassionate equitable inclusive trauma-informed client-centred approaches.
- Experience with data analysis, creating reports, budget maintenance and projections
- Demonstrated responsibility in interpreting policy, writing policy, data analysis, and working within policy-bound systems, is an asset.
- Post-secondary diploma/degree, training in counselling, leadership and/or human resources, and/or equivalent combination of training and experience. CCDP designation an asset.
- Competent skillset to navigate diverse software (i.e. Outlook, Excel, Teams, Zoom, Calendars, Proprietary Databases).
- Maintain appropriate client/worker boundaries.
- Willingness to work evenings or weekends, as required.
- Valid drivers license and access to a reliable vehicle.
- Clear criminal record checkand vulnerable sector check
