The Opportunity

This is an exciting opportunity for a detail-oriented professional with 5+ years of experience in project coordination, construction, or a related field. As a Project Coordinator, you will play a key role in supporting project execution by assisting with planning, tracking progress, managing documentation, and coordinating stakeholders. You will work closely with project managers, contractors, and internal teams to ensure projects stay on track, within scope, and on budget.

The ideal candidate is organized, proactive, and thrives in a fast-paced environment, bringing strong communication skills and the ability to support multiple priorities simultaneously.

This is a full-time, non-remote position based in Toronto, Ontario, Canada. The candidate must be willing to travel to the client site, outside of the GTA and within Ontario a couple of times a week.


Key Responsibilities:

Project Coordination & Support

  • Assist in the management and coordination of construction projects, ensuring alignment with timelines and deliverables.

  • Support the tracking and updating of project plans, including schedules, budgets, and deliverables.

  • Facilitate communication between stakeholders, including contractors, engineers, architects, and internal teams.

  • Identify and escalate issues and risks, tracking action items and following up on resolutions.

Project Controls & Reporting

  • Monitor and report on project costs, schedules, and progress.

  • Assist in reviewing monthly progress reports and contractor payment draws.

  • Support budget tracking and forecasting, ensuring financial accuracy.

  • Prepare progress updates, reports, and presentations for project teams and leadership.

Documentation & Compliance

  • Maintain project records, contracts, permits, and change orders, ensuring accurate documentation.

  • Ensure compliance with construction regulations, safety protocols, and quality standards.

  • Support in preparing and reviewing RFIs, submittals, and other project documentation.

Stakeholder Coordination

  • Serve as a point of contact for contractors, vendors, and project stakeholders.

  • Organize and participate in project meetings, prepare agendas and record meeting minutes.

  • Assist in procurement and logistics coordination, ensuring timely material and resource availability.

REQUIREMENTS

Experience and Education

  • Bachelor's degree or diploma in construction management, engineering, architecture, or a related field.

  • 5+ years of experience in project coordination and project management related to commercial construction.

  • Experience supporting commercial, infrastructure, or industrial construction projects is preferred.

Skills and Competencies

  • Strong organizational and problem-solving skills with attention to detail.

  • Experience in cost and schedule tracking, project controls, and reporting.

  • Excellent communication skills, both verbal and written, with experience engaging stakeholders.

  • Proficiency in project management software (e.g., Microsoft Project, Primavera P6, or similar).

  • Ability to work in a fast-paced environment, handling multiple priorities effectively.

  • The candidate must be willing to travel to the client site, outside of the GTA and within Ontario a couple of times a week.

  • Legally eligible to work in Canada.
