Reporting to the Dispatch Manager, the Dispatch Coordinator partners with the Dispatch group and internal clients to drive forward our purpose of providing Peace of Mind to our clients and our employees. We deliver on our purpose through our core values of being passionate, driven, and authentic.As a Dispatch Coordinator, you will beprimarily responsible for organizing daily dispatch for various job sites, working in compliance with all legal and safety requirements regarding the safe control of traffic and flagging personnel. Additionally, this position is responsible for administrative duties and any other tasks assigned by the Dispatch Manager to support the functions of business operations. Currently, we are looking to bring on a new Dispatch Coordinator to provide specific support with our Interior region (while working out of our Langley Operations office).

What you will be responsible for:

  • Place employees into jobs and send information to employees
  • Add premiums to the job when the employee is assigned to the job
  • Support the process of last minute job placing, as required (through phone calls and emails as necessary)
  • Provide needed information and correspondence to Area Managers
  • Coordinate with subcontractors
  • Receive calls from traffic personnel reporting absence information
  • Accurately enter all absence details for traffic personnel into an Absence Form
  • Ensure proper callback protocol is followed via phone and with employees
  • Support tracking of availability of resources
  • Notify stakeholders when short or canceling jobs (with support of Area Managers)
  • Support coordination of rental equipment (with Traffic Employees)
  • Review weekend availability
  • Process time off requests and sick days
  • Review approved paid days to add activities
  • Paper timesheets and timesheet console
  • Track and provide availability of resources
  • Coordinate non-supply cancellations (when occurs same day)
  • Trainee placement coordination

What we need from you:

  • Knowledge and understanding of Traffic Management Plans and the Traffic Control Manual for Work on Roadways developed by the Ministry of Transportation and Infrastructure
  • Knowledge of Windows Office Applications; Word and Excel
  • Telephone skills and mannerisms
  • Ability to multi-task and work under tight time constraints
  • Dependability and available for flexible working hours
  • Previous dispatching experience is considered an asset
  • Geographical knowledge or familiarity with the Interior region of British Columbia is an asset
  • Optimizes Work Processes- Knowing the most effective and efficient processes to get things done, with a focus on continuous improvement
  • Manages Complexity- Making sense of complex, high quantity, and sometimes contradictory information to effectively solve problems
  • Communicates Effectively- Developing and delivering multi-mode communications that convey a clear understanding of the unique needs of different audiences
