Shift Coordinator Job Description
The Shift Coordinator supports day-to-day execution on the floor by coordinating janitorial activities, assigning and following up on shift tasks, monitoring work quality, and ensuring that service activities are completed safely, efficiently and to standard. The role provides guidance to cleaning personnel, supports the Site Supervisor, responds to customer requests, coordinates daily site administration, and helps ensure equipment, supplies, documentation, training and safety requirements are maintained.
Key Responsibilities
Shift Coordination and Work Execution
- Act as the primary shift liaison for custodial and cleaning staff by providing direction, guidance and daily support.
- Assign daily tasks and responsibilities to employees and ensure the shift work schedule is followed.
- Control and monitor budgeted hours for the assigned location and escalate concerns where support is required.
- Inspect work on an ongoing basis to confirm performance, cleanliness and service levels meet expected standards.
- Identify and resolve site issues where possible and inform or involve the Site Supervisor as needed.
Scheduling, Administration and Records
- Assist the Site Supervisor with improving work schedules and shift coverage.
- Maintain timekeeping records for personnel and ensure required shift documentation is complete and accurate.
- Coordinate daily site administration, including sanitation, grounds keeping, and inventory management for cleaning supplies.
- Respond to customer requests, ensure timely follow-up, and coordinate access to offices or restricted areas as required.
Training, Orientation and Employee Support
- Coordinate site orientation and job-specific training for new cleaning personnel.
- Train employees on equipment use, cleaning methods, standard cleaning products and applicable site procedures.
- Provide coaching to staff, clearly outlining expectations and following-up in a timely manner.
- Escalate to Site Supervisor if disciplinary is required.
Equipment, Inventory and Preventative Maintenance
- Ensure equipment, including vacuum cleaners, floor scrubbers, polishers and buffers, is maintained in good working order.
- Provide or coordinate training for safe operation of equipment at the assigned location.
- Support inventory control and the daily Preventative Maintenance Program for assigned equipment and supplies.
- Operate company vehicle to deliver supplies between buildings where required and authorized.
Contractor and Site Support
- Liaise with external contractors to schedule services in a timely manner and escort contractors to assigned areas as required.
- Assist with general cleaning inside and outside the facility when required to support operational needs.
- Perform other relevant duties as assigned by the Site Supervisor.
Safety, Compliance and Quality
- Set a positive example by incorporating safe work practices into all activities and complying with client and company safety policies.
- Attend all required health and safety training and ensure employees receive necessary hazard, Safe Work Practice and Task Hazard Assessment training.
- Report and correct safety concerns, advise employees of unsafe conditions or hazards, and ensure PPE and safety devices are available and properly used.
- Comply with and consistently enforce applicable Health and Safety regulations, the Occupational Health and Safety Act, company policies and site procedures.
- Investigate incidents, injuries and near misses to support root-cause review and corrective action; report injuries to the Health and Safety/Risk department within required timelines.
- Support injured workers and participate in the early and safe return-to-work process in accordance with applicable policy.
- Ensure work is performed in accordance with Standard Operating Procedures, established safety standards, Quality requirements and applicable HR policies.
General Cleaning Duties, As Required
- Clean offices, including dusting and polishing furniture, vacuuming, sweeping, mopping, and washing walls and windows.
- Clean washrooms and change rooms and replenish supplies, including soaps and towels.
- Operate cleaning machines, including floor polishers, scrubbers and buffers.
- Clean warehouse floors, shelves, walls and forklift wheels.
- Clean laboratory and production areas and replenish supplies.
- Maintain coffee brewers as required.
- Dispose of garbage following approved procedures.
- Prepare approved cleaning solutions as required.
- Operate washer and dryer as required.
Job Requirements
Education
- Minimum Grade 12 education or equivalent.
Experience
- Previous experience in facilities coordination, janitorial operations, custodial services or a similar shift coordination role is preferred.
- Previous commercial, industrial, manufacturing, pharmaceutical, healthcare, or institutional cleaning experience is preferred.
Knowledge, Skills and Abilities
- Ability to lift up to 50 lbs. and perform physical cleaning tasks as required.
- Strong organizational, time-management and priority-management skills.
- Detail-oriented with the ability to monitor work quality and follow up on open items.
- Good written and verbal communication skills, including the ability to provide clear direction and coaching.
- Good computer skills, including working knowledge of Microsoft Word, Excel and Outlook.
- Ability to work safely, collaborate as part of a team, and support customer-service expectations in a regulated or client-facing environment.
