Who you are:
We are always looking for amazing talent who can contribute to our growth and deliver results! Geotab is seeking a Facilities Manager who will lead the Oakville Office Experience team and oversee the facilities, vendors, projects, and building operations that create a safe, efficient, and productive workplace. This role offers the opportunity to bring practical leadership and operational excellence to a high-impact headquarters environment while supporting a busy portfolio of projects. The initial six-month contract may be extended with the possibility of becoming permanent. If you love building strong teams, improving workplace operations, and are keen to join an industry leader — we would love to hear from you!
What you'll do:
As a Facilities Manager your key area of responsibility will be leading the day-to-day operation and continuous improvement of Geotab's Oakville headquarters. You will lead the Office Experience team, including food and beverage, reception, maintenance, and administrative staff; manage vendor relationships and service delivery; oversee building systems and scheduled maintenance; and coordinate construction, renovation, workplace design, and space-planning projects. You will manage operational budgets, service levels, safety and security protocols, emergency preparedness, business continuity, and communications about facility status and initiatives. You will work closely with Procurement, IT, Security, HR, Finance, contractors, and internal stakeholders to keep projects on track and ensure the workplace operates at a high standard.
To be successful in this role you will be a practical, accountable, and people-focused leader who can balance strategic planning with hands-on operational judgment. You will bring strong communication, mentoring, collaboration, and decision-making skills, along with the ability to manage competing priorities, budgets, vendors, incidents, and project milestones. This is an in-office role based at Oakville headquarters, with daily attendance expected and occasional after-hours work.
How you'll make an impact:
• Oversee daily operations of the large office facility, ensuring operational excellence standards including safety, security, and business continuity protocols.
• Schedule and oversee routine checks on HVAC, plumbing, electrical systems, food service equipment, EV chargers, and elevators.
• Negotiate contracts with service providers and ensure they meet Service Level Agreements.
• Oversee construction and renovation projects using landlord-preferred vendors.
• Ensure the facility meets local building codes, fire safety regulations, and OSHA or equivalent standards.
• Manage the operational budget for repairs, maintenance, supplies, capital projects, and utilities.
• Partner with cross-functional teams and prepare monthly reports regarding building energy consumption, maintenance costs, and project timelines.
What you'll bring to this role:
• Diploma or technical training in building operations, facilities management, or a related field.
• At least five years of experience in facilities management or a similar role.
• Five to eight years of progressive leadership experience in corporate management or related strategic roles.
• Experience managing facilities of 75,000 or more square feet.
• Knowledge of Ontario building code, fire code compliance, AODA, environmental and energy regulations, and workplace safety practices.
• Experience with workplace management systems, building automation technologies, vendor management, contract negotiation, project management, and budget oversight.
• Relevant certifications such as CFM, FMP, or RPA, plus health and safety certifications such as WHMIS, Joint Health and Safety, and First Aid.
