In this role, you can make a positive impact through your organizational skills, attention to detail, and expertise in administrative management.
Your role
- Proactively manage and optimize complex executive calendars, aligning priorities across multiple stakeholders.
- Support leadership meetings, and committees, including the preparation of agendas, presentations, business communications, meeting documentation, and follow-up actions to ensure seamless execution and effective stakeholder engagement.
- Coordinate business travel and key logistics, ensuring a seamless experience.
- Manage expense reporting, approvals, invoices, and budget tracking while ensuring accurate financial records, compliant administrative processes, and well-organized documentation.
- Act as a key liaison between the senior leaders and internal/external partners, fostering strong collaboration.
- Coordinate onboarding, departures, and internal requests (IT access, tools, reporting), while handling confidential information with discretion.
- Support the planning and execution of major events, client activities, and strategic initiatives.

Prerequisites
- Completed post-secondary education and 3+ years of experience in an Executive Assistant or senior administrative role
- Ability to manage high-volume, high-complexity priorities with autonomy
- Strong proficiency with Microsoft 365 tools (Outlook, Excel, PowerPoint, Teams)
- Excellent organizational, communication, and prioritization skills
- Strong sense of discretion, judgment, and professionalism
- Proven ability to build relationships and collaborate effectively
Languages: English, French Reason to require this language: you will need to work closely with our colleagues outside Quebec. Skills
