Your opportunity:
Reporting to the Chief Administrative Officer, the Research Program & Operations Coordinator will support a broad range of research and academic initiatives within the Department of Ecology & Evolutionary Biology. The position will play a central role in the administration and coordination of a major NSERC CREATE graduate training program involving multipleCanadian universities and external partners (60%), while also providing broader research administrative support to faculty members across the department (40%).
The incumbent will coordinate all activities related to the CREATE graduate training program, support grant administration and reporting, maintain project records, facilitate meetings and communications, and ensure compliance with relevant policies and procedures. The role will also support research operations through the coordination of academic events, field activities, research communications, and stakeholder engagement. Working closely with faculty, students, staff, and external collaborators, the Research Program & Operations Coordinator will contribute to the successful delivery of research programs and initiatives that advance the department's research and training mission. Your responsibilities will include:
- Scheduling day-to-day project activities
- Maintaining project records and informing stakeholders of project progress
- Coordinating meeting schedules, agendas, materials, action and follow-up items
- Maintaining information on digital platforms
- Assessing needs and contributing to the planning of research goals
- Delivering presentations to promote programs, opportunities and/or initiatives
- Monitoring, recording, reconciling and/or reporting on funding accounts for grants and contracts
- Directing the activities of casual staff
Essential Qualifications:
- Advanced College Diploma (3 years) in public administration, research administration, or a related field or acceptable combination of equivalent experience.
- Minimum five years relevant experience supporting graduate trainee programs or initiatives in a university, research, government, healthcare, or similar environment
- Demonstrated experience coordinating multiple projects and competing priorities, including tracking deliverables, managing timelines, and supporting diverse stakeholder groups to achieve project objectives within established deadlines.
- Demonstrated experience supporting research administration, grant-funded initiatives, or academic programs, including coordinating project activities, monitoring milestones, and ensuring adherence to funding and reporting requirements.
- Demonstrated experience coordinating meetings, events, workshops, and stakeholder communications, including logistics management, agenda development, materials preparation, and follow-up action tracking
- Demonstrated experience maintaining project records, preparing activity and financial reports, and supporting compliance requirements.
- Demonstrated experience drafting, editing, and formatting reports, presentations, correspondence, and other research-related materials for a variety of audiences
- Demonstrated ability to analyze information, interpret and apply policies, procedures, and guidelines, identify issues and risks, and exercise sound judgment in developing recommendations and solutions.
- Strong organizational and project coordination skills, demonstrated through the successful management of multiple assignments, competing deadlines, and detailed administrative processes with a high degree of accuracy and attention to detail
- Excellent interpersonal, written, and verbal communication skills.
- Demonstrated ability to work effectively both independently and collaboratively in a fast-paced environment
- Advanced proficiency with Microsoft 365 platform particularly Excel, Word, PowerPoint, Outlook and SharePoint
Assets (Nonessential):
- Bachelor's degree in public administration, research administration, or a related field
- Experience supporting NSERC or other Tri-Agency funded programs

Pay Scale Group & Hiring Zone:
USW Pay Band 11 -- $76,577. with an annual step progression to a maximum of $97,928. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
