Your opportunity:
Reporting to the Associate Director, Space and Program Planning, the Associate Planner supports the planning, analysis, and management of space across the University of Toronto Mississauga campus. As a member of the Planning, Design & Construction team within Facilities Management & Planning, the role contributes to planning studies, space assessments, and project coordination by gathering and verifying space data, preparing analyzes and reports, supporting feasibility assessments, and maintaining accurate space information aligned with institutional priorities.
Working closely with academic and administrative stakeholders, the Associate Planner helps identify space needs, document functional requirements, and develop planning recommendations for renovations, capital projects, and operational improvements. The role also supports project administration by coordinating meetings, maintaining records, tracking planning activities, and monitoring project progress. Through strong analytical skills, attention to detail, and a commitment to service excellence, the Associate Planner contributes to effective space governance and helps ensure planning decisions support UTM's standards for quality, accessibility, sustainability, and operational effectiveness.
Your responsibilities will include:

  • Implementing plans and process improvements for project activities
  • Liaising between stakeholders and/or contractors to gather and share information
  • Gathering information in preparation for planning reports
  • Maintaining a database of the university's buildings information
  • Resolving minor complaints within the scope of the role and referring to larger issues when appropriate
  • Exchanging information at project planning committee meetings
  • Preparing and updating CAD drawings for review
  • Creating and editing project documents

Essential Qualifications:

  • Advanced College Diploma (3 years) in Architectural Design/ Technology or acceptable combination of equivalent experience
  • Minimum four years experience in architectural or interior design, space planning, and project coordination
  • Experience with handling multiple priorities and projects with conflicting deadlines while maintaining a high degree of accuracy and high quality
  • Excellent planning coordination, organizational and analytical skills
  • Strong background in preparing analysis and generating reports
  • Excellent interpersonal and communication skills, both verbal and written skills, strong proof-reading and editing skills

Assets (Nonessential):

  • Bachelor of Architecture would be an asset
  • Advanced computer skills in Microsoft Office, Excel, Word, Auto CAD, Bluebeam and Adobe Suite
  • Familiarity with commercial construction projects would be an asset
  • Ability to exercise initiative, tact, discretion, problem-solving skills and work under pressure
