The Role
- Compensation: $55,000 - $65,000
- Benefits: Comprehensive health and dental benefits after successful completion of a 3-month probationary period.
- Work Type: Full-time, Remote.
- Working Hours: Monday to Friday, 40 hours per week
- Start Date: ASAP – the position is currently open and ready to be filled.
- Training: Structured onboarding and systems training provided
Responsibilities and duties:
Shared Services Coordination & Operational Support
- Support the coordination of centralized administrative processes across clinics, including documentation, reporting, and workflow execution.
- Ensure tasks are completed accurately, consistently, and in alignment with established procedures.
- Assist in coordinating communication and information flow between clinic locations and administrative functions.
- Support alignment of processes and ensure consistency across teams.
- Oversee and order clinic equipment and supplies, ensuring appropriate inventory levels across all locations.
- Monitor and manage monthly clinic budgets, ensuring expenses align with operational and financial goals.
- Oversee AP/AR processes, ensuring timely and accurate payments and collections and reconciliations.
- Process biweekly payroll and ensure all statutory deductions and benefit contributions are accurately recorded and remitted.
- Process all contractor payroll and prepare payroll summaries in a timely and accurate manner.
- Maintain and update employee records related to vacation requests, sick days, and other time-off, ensuring accuracy and alignment with company policies.
- Provide day-to-day administrative support for EMR systems and operational tools.
- Assist with user setup, basic troubleshooting, and coordination of system updates and training.
- Support the preparation and maintenance of operational reports and dashboards.
- Ensure data is collected, organized, and reported accurately to support operational decision-making.
- Maintain standardized processes, templates, and documentation across clinics.
- Support updates to procedures and ensure teams are using the most current processes.
- Assist with administrative setup for new clinics, services, or programs, including documentation, systems setup, and process coordination.
- Support scalable processes that enable organizational growth.
- Diploma or degree in Business Administration, Healthcare Administration, or related field (preferred)
- 3–5 years of experience in operations, clinic administration, or shared services roles
- Strong organizational skills and attention to detail
- Ability to manage multiple priorities in a fast-paced environment
- Excellent communication and coordination skills
- Proficiency in Microsoft Office and administrative systems
- Strong problem-solving and analytical abilities
- High level of professionalism and confidentiality
- Experience in a multi-site or healthcare environment
- Familiarity with EMR systems and billing platforms
- Experience supporting payroll, billing, or HR administration
- Experience in a start-up or high-growth organization
