On behalf of our client TA Appliances, we are seeking a highly organized and proactive Administrative Assistant, Builders Division. Reporting to the VP Builder, this role is ideal for a detail-oriented professional who thrives in a fast-paced environment, enjoys coordinating multiple priorities, and is committed to delivering excellent service to internal teams, external partners, and customers.The Administrative Assistant, Builders Division will provide comprehensive administrative and operational support, this position will help ensure smooth day-to-day coordination of builder dispatch, delivery, installation, documentation, customer service, and departmental activities.
Key Responsibilities· Oversee the Builder Residential Coordinator and all aspects of builder dispatch and delivery operations.· Act as the primary liaison for delivery crews, installers, and sales personnel.· Resolve delivery and installation issues using established protocols.· Facilitates deliveries, exchanges, and returns while preparing the required documentation for daily builder operations.· Generate and maintain paperwork related to exchanges and returns.· Coordinate direct deliveries from suppliers to site.· Monitor and track employee vacations and absences effectively.· Develop presentations, final quotes, and vouchers for builders, property management companies, and developers.· Compile and finalize specifications for builders, property management companies, and developers.· Schedule and attend meetings, ensuring accurate minute-taking and follow-up.· Review and approve invoices related to installation and delivery.· Address customer inquiries and assist in resolving related issues.· Collaborate with the marketing team on events and ongoing projects.· Perform general clerical duties, including filing and report generation.· Complete additional tasks as required by the department.
Qualifications· 3 years+ previous coordination/administration support at a senior level is required.· Grade 12 diploma or equivalent.· Demonstrated ability to work independently with minimal supervision.· Proven decision-making, critical thinking, and problem-solving abilities.· Demonstrated commitment to delivering strong customer service.· Proven organizational skills with excellent attention to detail.· Demonstrated ability to multitask, prioritize, and manage time effectively.· Proficiency with computers and Microsoft Office programs at an intermediate level, including excel· Proven written and verbal communication skills.· Demonstrated experience working in a fast-paced environment with competing priorities.If you are a proactive administrative professional who enjoys supporting busy teams, coordinating operational details, and providing exceptional service, we encourage you to apply for this opportunity.
