Between Friends is looking for an enthusiastic, organized, and people-focused Administrative & Program Support Coordinator to join our team. This role is at the heart of our organization, helping members, families, staff, volunteers, and community partners have a positive experience every step of the way.

The Role:The Program & Administrative Support Coordinator is a dynamic role that combines customer service, administration, communications, and program operations. As one of the first points of contact for Between Friends, this individual helps create a welcoming and positive experience for members, families, volunteers, donors, and community partners. The role serves as a central hub within the organization, supporting participant registration and bookings, administering fee assistance programs, maintaining accurate records and schedules, updating information within Connect and other organizational systems, and ensuring timely communication with participants and families. In addition, the coordinator helps share the impact of Between Friends through social media and communications, while supporting the day-to-day operations of the office by maintaining supplies, coordinating vendors, and keeping workspaces organized and welcoming. Success in this role requires exceptional organizational skills, strong attention to detail, a passion for helping people, and the ability to manage multiple priorities while contributing to a culture of inclusion, belonging, and excellent service.
What You’ll Do:
  • Be the Friendly Face of Between Friends: Create exceptional first impressions by welcoming members, families, volunteers, donors, and community partners. Whether in person, by phone, or online, you'll help people feel valued, supported, and excited to be part of our community.
  • Keep the Magic Moving: Help bring programs to life by managing registrations, bookings, fee assistance applications, waitlists, schedules, and participant records. Your organization and attention to detail will ensure our members have a seamless experience from registration to participation.
  • Keep Our Systems Running Smoothly: Become a Connect champion by maintaining accurate program information, participant records, calendars, and schedules. You'll help ensure staff, members, and families always have access to the information they need.
  • Share Stories That Inspire: Help tell the Between Friends story through social media, newsletters, and communications. From highlighting member achievements to promoting upcoming adventures and events, you'll help showcase the impact of belonging and inclusion.
  • Be the Office MVP: Keep our office welcoming, organized, and ready for action. From stocking supplies and coordinating vendors to supporting events, meetings, and special projects, you'll play a key role in creating an environment where both staff and members can thrive.
