Discover Canada Tours & West Trek Tours are divisions of UNIGLOBE Specialty Travel Ltd. Our primary objective is to provide affordable travel programs that will enable ESL and international students, as well as visitors to Vancouver and the lower mainland, to learn more about Canada, practice their English, meet new people; and most importantly, have fun! While under continuous development, our travel program primarily comprises tours to the Rocky Mountains, Tofino, Victoria, Whistler, and many other exciting destinations in Western Canada.

Overview
This position is only available for students who are looking to do a practicum to complete their educational program requirements. Both domestic and international students are welcome to apply for these practicum placements.
Our People team is looking for a practicum student with a excellent communication skills and a passion for creating a positive experience to join us as a Communication Assistant. Our objective is to provide a great work environment, one that fosters professional and personal development.
Reporting to the People Coordinator, the Communication Assistant will assist the People department with office management and administrative initiatives, events preparation and coordination, and internal communication. Additionally, the Communication Assistant will also lend a hand to support the Marketing department with promotional activities and materials for the West Trek division, as well as helping the Sales team from time to time with general front desk duties.
As a Communication Assistant, your core responsibilities include:
Office Management & Administration
- Ensure consistent employee data regarding their birthdays, work anniversaries, achievements, food preferences, and food allergies is up-to-date
- Proactively and consistently establish recognition for employees ensuring cards, events, and/or gifts are organized for employee special milestones (birthdays, work anniversaries, engagements, weddings, etc.)
- Oversee office supplies and equipment maintenance to maintain an organized and clean workspace
- Assist with the management of the office budgets and office expenses
- Maintain a comprehensive inventory of all staff and office equipment, ensuring accurate tracking and efficient allocation of resources to support the daily operations and long-term needs of the organization
- Assist with internal company communication among departments and staff
- Assist in the preparation of organizing meetings, welcoming office guests, and coordinating the workplace prior to events or important visits
Events
- Support the Groups, Meeting & Events Coordinator with the coordination of UNIGLOBE client events, conferences, and staff events including celebrations, quarterly meetings, annual parties/gatherings, team buildings, and more
- Support the West Trek division with the set up of their monthly parties and activities such as walking tours, after school activities, sporting events, BBQs, etc. when necessary
Marketing
- Assist in the development of marketing packages and promotional materials, including printing, sorting, organizing, and creating promotional materials in both print and digital formats
- Attend activities, events, and trips to take photos and videos for Marketing’s database of promotional materials
- Assist the Marketing and the Sales teams in any tasks relevant to the preparation and coordination of marketing and promotional campaigns
- Assist in organizing marketing assets
- Assist in reviewing the websites and print marketing materials regularly to ensure all of the details are accurate and up-to-date
Sales
- Act as a representative of Discover Canada Tours and its brands to welcome customers, receive inquiries while the Sales team members are unavailable, and direct the communication to the appropriate personnel
- Learn and know how to manage, promote, and sell tours and activities at assigned accounts through the reservation systems
- Attend in-office Sales meetings and Sales training sessions from time to time
- Support the Sales team by exuding leadership and performing duties in English (except for situations where it is beneficial to speak in other languages to assist customers and clients)
Additional Responsibilities
- Participate in Familiarization (FAM) trips to experience our tours and attractions firsthand
- Assist the tour guide and guests during tours, participate and engage in activities, and take photos and videos for Marketing’s database
Qualifications
- Legally eligible to work in Canada
- Strong English language skills, both oral and written
- Strong organizational and multi-tasking skills
- Proficiency in using Canvas is a must
- Experiences or interests in administration, people relations, campaign coordination, events coordination, social media management, vlog/blog management are great assets
- Enrolled in a post-secondary education institution which encourages and validates a practicum for which a practicum placement at Discover Canada Tours can satisfy
- Preferably be enrolled in, or have previous experience working in Business Management, Events, Marketing, Communications, Media, or relevant fields
