The Opportunity We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to both the Chief Executive Officer (CEO) and Chief Financial Officer (CFO). This role requires exceptional attention to detail, discretion, and the ability to manage multiple priorities in a fast-paced environment. What You Will Be Doing:

The Opportunity We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to both the Chief Executive Officer (CEO) and Chief Financial Officer (CFO). This role requires exceptional attention to detail, discretion, and the ability to manage multiple priorities in a fast-paced environment. What You Will Be Doing:
- Manage complex calendars, email inboxes, and coordinate scheduling of meetings for the CEO and CFO, ensuring accuracy and efficiency.
- Prepare, proofread, and edit correspondence, reports, presentations, and other business documents to maintain a high standard of quality.
- Serve as a primary liaison between executives and internal/external stakeholders, facilitating timely and professional communication.
- Organize and streamline information, workflows, and office activities, proactively creating or improving processes and procedures to enhance administrative effectiveness.
- Maintain and update databases and internal file structures, ensuring accuracy, accessibility, and compliance with organizational standards.
- Demonstrate professionalism and initiative, anticipating and addressing the needs of the CEO and CFO with minimal direction.
- Coordinate meeting logistics, including preparing agendas, compiling materials, and recording minutes.
- Track, monitor, and follow up on action items, deliverables, and deadlines to ensure timely completion.
- Provide support for special projects and strategic initiatives as directed by executive leadership.
- 5–7 years of progressive administrative experience in a fast-paced environment, including at least 3 years supporting senior management.
- Post-secondary education in business administration or equivalent experience.
- Exceptional organizational and time-management skills with the ability to prioritize effectively.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams).
- Strong written and verbal communication skills and excellent interpersonal abilities.
- Ability to manage confidential information with discretion and professionalism.
- Demonstrated analytical, problem-solving, and research skills, including preparing reports and presentations.
- High attention to detail and a strong sense of ownership and accountability.
- Experience in construction, real estate, or related industries is an asset.
