The work location for this role is 483 Bay Street in Toronto until approximately late 2026, when the work location will change to the new Mississauga office at 3 Robert Speck Parkway.

What You Will Do:

The Mutual Funds administrator delivers stellar service to internal and external clients by administering a full range of operations transactions associated with the Mutual Funds department within Fidelity Clearing Canada. The Mutual Funds department is responsible for settlements, reconciliation, and processing of rejected trades. The administrator will provide feedback on rejected trades to the branches, as well as liaising with the various mutual fund companies for various requests.

They will ensure that daily tasks and complex issues are processed in a timely and accurate fashion while adhering to policies, procedures and regulatory guidelines.

This role reports into the Team Manager - Mutual Funds and is responsible for completing daily work volumes within assigned scope of responsibility.

Responsibilities

  • Investigate, resolve, and reprocess rejected mutual fund transactions, collaborating with fund companies and internal stakeholders as required
  • Execute internal transfers in accordance with client instructions and established settlement timelines
  • Set up and administer systematic withdrawal plans (SWPs) and pre-authorized contribution (PAC) arrangements
  • Perform daily settlement activity for mutual funds transactions and reconcile cash balances, ensuring accuracy and timely resolution of discrepancies
  • Complete monthly reconciliations and reporting of client holdings, investigating variances and ensuring alignment with recordkeeping systems
  • Support the accurate posting of exception and complex trades, ensuring compliance with internal controls and audit standards
  • Maintain and update client account information (non-financial changes), ensuring accuracy, completeness, and adherence to regulatory requirements
  • Assist in the calculation, reconciliation, and processing of trailer fees and advisor commissions related to mutual fund holdings
  • Partner with internal teams to address client inquiries and enhance operational efficiency
  • Contribute to continuous improvement initiatives within the mutual fund operations function
  • Perform other related duties as assigned

Qualifications

  • Mandatory: Proven experience in the financial services industry (minimum 1–2 years), specifically within mutual funds or a related field
  • Community college diploma or equivalent work experience; post-secondary education in Finance, Business, or a related field is preferred
  • Completion of industry-related courses (e.g., CSC, IFIC) is strongly preferred
  • Strong proficiency in the Microsoft Office Suite, including Excel (intermediate to advanced), Outlook, and Word is mandatory; experience with Power BI, SharePoint, and other reporting/data tools is an asset
  • Experience with Dataphile and FundSERV systems is strongly preferred

  • Base Salary and Discretionary Performance Bonus: A competitive annual range of $49,000 to 70,000 based on your experience and qualifications.
