Coordinator, Pharmacy Services
Mohawk Medbuy Corporation (MMC) is a national, not-for-profit, shared services organization that supports hundreds of health care providers across Canada, as well as child welfare agencies and other public sector organizations. MMC provides value-driven contracting and procurement solutions for medical/surgical supplies, pharmaceutical products, local sourcing, capital (equipment, FF&E and redevelopment) and nutrition solutions. Other services include data analytics, in-hospital support, warehousing/logistics, technology, procure-to-pay, and accounts payable.
With an emerging focus on sustainability and reconciliation with Indigenous Peoples, MMC is actively supporting the creation of a resilient value chain that incorporates environmental, social and governance best practices. Based in Burlington, ON, the organization also has offices in Toronto, Thunder Bay, Kingston, Brantford, London and Chatham, and a distribution centre in Oakville.
We are currently recruiting for a full-time Coordinator, Pharmacy Services to support our Pharmacy Services team at any of our offices.
Position Overview
Primary objectives include the provision of exemplary Member customer service, vendor relations, contract management and issue resolution while supporting all elements of the sourcing initiative process. Participate in the Pharmacy new Member onboarding team or related activities, as assigned. Utilizing RPhT pharmaceutical knowledge, provide technical and operational support to the Pharmacy Services team in all stages of the sourcing initiative development and execution including implementation of the Pharmacy contracting process and ongoing maintenance of existing contracts. Active involvement with the Pharmacy Buyers Subcommittee (PBSC) and provide support to the Pharmacy Functional Advisory Committee and other Subcommittee functions as required. Meet internal Key Performance Indicator (KPI) levels for Pharmacy Coordinator related KPIs.
Key Responsibilities
Member Customer Service
- Provide accurate, timely, and professional response to Member inquiries, including first line management of Member issues submitted for investigation, resolution, and communication if within the regulated pharmacy technician (RPhT) scope of practice.
- Provide peer to peer support and manage relationships with assigned Members of the PBSC.
- Participate in activities of the PBSC, as assigned.
- Assist with preparation and participate at Pharmacy Functional Advisory Committee or Subcommittee meetings and post-meeting follow-up/actions, as assigned.
- Act as a moderator for the Pharmacy Member discussion forum, as assigned.
- Host Pharmacy Member Portal Orientation, as assigned, and/or manage and coordinate response to Member requests for assistance with the Member Portal or other electronic Member tools.
- Participate in Member Opportunity Report delivery meetings, including preparation activities, as applicable.
- Participate in the dedicated Pharmacy new Member on-boarding team, or related discrete tasks, as assigned.
Sourcing Initiatives/Contract Implementation
- Participate in Sourcing Initiative teams for the planning and execution of assigned Sourcing Initiatives, including Request for Proposals (RFP), Advance Contract Award Notice (ACAN), and Option periods.
- Coordinate and participate in the creation of resulting new contracts in computer system, data integrity activities utilizing RPhT pharmaceutical knowledge for specific tasks e.g., drug description review, output contract documentation, contract development validation (double check), as assigned, issue for electronic signatures, track, monitor and management of executed contracts.
Contract Management
- Perform ongoing maintenance of assigned contracts in computer system, data integrity activities, output documentation, contract development validation (double check), as assigned, issue for electronic signatures, tracking, and management of executed amendments.
- Perform designated activities associated with Option Periods and Member Contract Exclusion requests.
- Provide accurate, timely, professional response to vendor inquiries, within a RPhT scope of practice, and participate in meetings with assigned vendors, as required.
- Provide support to MitigAID Supply Disruption program, including utilization of RPhT pharmaceutical knowledge to research alternates and documentation of possible alternates, monitoring repositories and vendor communications regarding drug shortages for significant impact to Members, as assigned.
- Participate in marketplace surveillance activities to identify changes impacting existing contracts, new competitive market entries and new product contracting opportunities, briefing as needed, Clinical Directors for clinical evaluation.
- Participate on various drug supply calls, as assigned.
- Monitor and manage pharmacy related product articles/bulletins including vendor notices not related to backorders, recalls, and discontinuations, or product safety concern information and action appropriately within the RPhT scope of practice.
- Participate in Business Development activities including vendor meetings, as required/assigned.
- Participate in the research and cleaning of Pharmacy Member received purchase data, e.g., drug descriptions utilizing RPhT knowledge and skills.
Additional Areas of Responsibility
- Attend and contribute to applicable internal meetings.
- Assist with development/maintenance of Coordinator, Pharmacy Services system and process documentation, and training tools as assigned.
- Contribute to a positive office environment within the team and organization.
- Provide additional support as required to staff and Members.
- Participate in the orientation of new Coordinators, Pharmacy Services, new staff, Members, and vendors, as assigned.
- Liaise with other departments, as assigned, for ongoing revisions, development, implementation, and enhancement opportunities.
- Communicate user account administration requirements and development/maintenance of group distribution lists for execution by designated staff.

Qualifications and Skills
Skills and Competencies
- Proficient knowledge of Word and Excel (intermediate level)
- Proficient keyboarding skills
- Proficient in spelling, grammar, and writing
Education, Training, and Experience
Mandatory
- Registered Pharmacy Technician (RPhT) with Ontario College of Pharmacists.
- Demonstrated proficiency using Excel at an intermediate level.
- Proficient written and oral communication skills.
- Ability to work in-office (on-site) a minimum of 3 days per week with flexibility of remote work for remaining 2 days per week.
Preferred
- Experience as a hospital pharmacy technician.
- Attention to detail and high level of accuracy.
- Ability to work independently as well as in a cross-functional team environment.
- Demonstrated ability to build strong collaborative relationships.
- Ability to balance multiple concurrent priorities.
- Demonstrated knowledge in all facets of Office suite/electronic communication.

- Pharmaceutical contracting/purchasing experience an asset.
- Ability to read, write, and speak French an asset.
Travel
- Ability to travel to Mohawk Medbuy offices if required.
