Document Control Specialist (Intermediate)

Hays Specialist Recruitment has partnered with an Energy company based in Calgary, AB. We are currently hiring an Intermediate Document Control Specialist to join their team for a 12-month contract. This is a full-time hybrid role.

Key Responsibilities:

• Maintain and update controlled documents in both electronic and hard copy formats.
• Ensure proper classification, storage, and retrieval of documents in line with company procedures.
• Track document revisions and maintain version control.
• Review, register, and monitor vendor and supplier documentation for accuracy and compliance.
• Coordinate with vendors to ensure timely submission of required documents.
• Validate vendor documentation against project specifications and standards.
• Implement document control processes aligned with regulatory and contractual requirements.
• Support audits and inspections by providing accurate document records.
• Liaise with project teams, procurement, and vendors to resolve documentation issues.
• Provide guidance on document control procedures to internal and external stakeholders.

What You Need to Succeed:

• 3-5 years of experience in document control, ideally within oil & gas, construction, or infrastructure projects.
• Diploma or degree in Business Administration, Engineering, or a related field.
• Proven experience managing vendor/supplier documentation and Master Document Registers (MDR).
• Proficiency in document management systems such as SharePoint, Aconex, OpenText, and Bluebeam.
• Knowledge of SAP and Hexagon SDx is an asset.
• Strong organizational skills and attention to detail.
• Excellent communication and stakeholder management abilities.
