What you will be doing
To provide the highest level of customer service through prompt response to all client inquiries and by providing complete, timely and accurate communication from pickup to delivery of our client's cargo. The ocean export coordinator will assist with and manage all documentary requirements for the shipper as well as carriers and network partners. You will be responsible for capturing all data in our global operating system and generating the necessary documentation and invoicing for your shipments. In your role you will play an important part in achieving our 'Happy Customer' value through a dedicated focus on meeting all customer needs.
Essential Responsibilities include:
- Communicate effectively to meet all customer requirements, resolve customer problems and/or complaints expeditiously and effectively
- Work with trucking and warehouse vendors to coordinate the transport of export shipments from shippers premises to Vanguard CFS
- Work with ocean carriers and drayage companies to arrange loading of export consolidation containers and arrange shipments to overseas destinations
- Review and validate all documentation received for errors and omissions and regulatory compliance
- Capture all data and documentation in our global operating system and ensure all milestones are updated promptly and accurately
- Work with our commercial team to ensure invoicing according to quotation as well as ensuring profit margins are in line with guidelines and any discrepancies are being addressed to secure adequate profit margins for current and future shipments
- Send data and documentation timely to our overseas network partners and offices and communicate closely with them to ensure seamless end to end service for our clients
- Manage file level operational accounting tasks such as invoicing and vendor accruals accurately and timely
- Engage commercial team and/or management on any potential client complaints and potential service failures proactively and with urgency
- Be a team player and support our common objectives and goals to become the leading service provider in the industry in Canada
Requirements
- Minimum 3-5 years experience in international ocean freight transportation
- French language skills a definite plus
- Customer focused with a strong sense of urgency and attention to detail
- Calm under pressure
- Eligible to work full time in Canada
