The Administrative and Supply Teacher Co-ordinator plays a key role in supporting the Principal, Vice Principal, and Junior School (JS) office team by managing a wide range of administrative processes and responsibilities that ensure the smooth and efficient operation of the JS. In a busy, nurturing environment, the Co-ordinator provides outstanding administrative and customer service support, demonstrating flexibility in moving seamlessly between routine office tasks and more complex duties. These include monitoring and recording teacher attendance and coordinating appropriate coverage for absences throughout the day. Collaborating with faculty, students, parents, and staff, the Co-ordinator fosters a procedural and consensus-driven approach that reflects the school's mission, vision, and values.
What You'll Do:
- Receives and manages teacher absence requests, including outside the school day contacts supply teachers, liaises with absent teachers to ensure adequate supply coverage is arranged, and communicates coverage plans to teachers and the Junior School Office Team
- Handles all Junior School reception responsibilities for half of the day, including security, meeting and greeting students, parents, staff and guests
- Corresponds with parents, students and staff inquiries in person and via email/phone
- Collaborates with JS athletic director for classroom coverage of coaches and supports coverage for internal events e.g. bobcat games, girls march etc.
- Prepares supply teacher timesheet and follows up with Vice Principal and Human Resources Manager regarding supply needs
- Manages JS myBSS including content, editing and writing communications to be sent out to JS community
- Attends to the coordination and communication of key JS events to the JS community via myBSS, News You Can Use and other school platforms
- Oversees the registration, communication, event planning and administrative needs for Longtimers Lunch, Junior School community events, Grade 6 Graduation and the Summer Symposium, in collaboration with Faculty Leads
- Supports the JS Handbooks formatting and works in collaboration with JS Office and JS Vice Principal
- Manages follow-up evaluation meeting bookings, all trip excursion and athletic forms, and general filing
- Oversees trip budgeting and student chargebacks
- Collaborates with the other Junior School Co-ordinator to ensure that responsibilities and tasks, both strategic and operational, are completed efficiently
Who You Are:
- Administrative experience, preferably working in an educational setting
- Strong technology skills, specifically knowledge of Google Suite and Microsoft Office
- Strong writing, editing and proofreading skills with an eye for detail and accuracy
- Experience with and interest in working with children and their families
- Ability and experience maintaining database systems
- Strong organizational and interpersonal skills
- Excellent customer relations skills
- Ability to work some evenings for school related events such as: Curriculum Nights, Student Conferences, Open Houses and other community events
- High level operations to ensure optimal student and faculty experience
