Position Summary:
Our London office team is seeking a keen and enthusiastic individual who would like to gain experience and knowledge through hands-on learning in a Group Tour booking agent role. The successful candidate will be responsible for supporting our public tour division by becoming knowledgeable on our tour products; booking tours, insurance and other travel arrangements for clients; and assisting our experienced Group Planning team.
Key Responsibilities:
Client Booking Management: Handle client bookings, including payments, optional insurance, pre/post stays, and airport transfers. Coordinate with air department for tours without included air, ensuring bookings are confirmed.
Upgrades and Adjustments: Issue insurance upgrades and other add-ons. Collaborate with group planners for air-inclusive tours, managing seat upgrades or deviations.
Payment Monitoring and Reminders: Monitor tour payment dates and send reminders. Ensure all payments are processed, reporting concerns to the manager.
Client Communication: Send mass emails to clients regarding tour updates. Maintain open communication with planners and the manager regarding inventory issues. Assist clients via email and phone.
Administrative and Accounting Procedures: Follow accounting procedures for bookings, refunds, or credits. Assist clients with insurance claims and necessary paperwork.
Skills & Qualifications:
Excellence in customer service and people skills, as well as resourceful administrative skills
Strong organizational skills and attention to accuracy, detail and compliance
Passion and experience in travel an asset.
Tech savvy, comfortable with new and changing technology
High level of integrity, sense of accountability, and professionalism
Post-secondary diploma (Travel & Tourism diploma or education an asset)
