Job Description

As an Office Administrator at FlashPharmacy, you will play a key role in ensuring the seamless management and organization of both pharmacy locations and head office staff. You will set schedules, manage team calendars, and coordinate key administrative functions including accounting and HR. Your goal will be to foster an efficient, well-organized workplace while embracing modern tools and technologies.

Responsibilities

Team Management: Oversee and manage the daily operations of pharmacy staff and head office employees, ensuring clear communication between teams.
Scheduling & Coordination: Develop and maintain schedules for both pharmacies and head office employees, ensuring efficient resource allocation and managing time-off requests.
Calendar Management: Coordinate and maintain executive and team calendars, scheduling meetings, appointments, and key deadlines.
Accounting Tasks: Oversee invoicing, payroll, expense tracking, and ensure compliance with company budget and financial guidelines.
Technology Integration: Implement and manage office management software including Slack, ChatGPT, and other tools to optimize internal communication and workflows.
HR Functions: Assist with hiring, onboarding, and offboarding processes, manage employee records, track performance, and handle employee relations.
Policy Implementation: Create, implement, and refine office policies and procedures to streamline operations.
Inventory & Supplies: Manage office and pharmacy inventory, ensuring all supplies are well-stocked and ordering as needed.
Vendor Management: Liaise with suppliers and service providers to ensure all office and pharmacy needs are met efficiently.
Compliance & Reporting: Ensure compliance with all relevant regulations and industry standards. Prepare and present reports to upper management regarding operations, staffing, and financial metrics.
Employee Engagement: Foster a positive work culture and coordinate team-building activities and events to improve employee morale.
Problem Solving: Identify and resolve any operational issues promptly and efficiently.

Qualifications

Experience: 3+ years of experience as an Office Manager, Operations Manager, or similar role, preferably within the healthcare or pharmaceutical industries.
Accounting Skills: Proficiency in accounting tasks including invoicing, payroll, and expense management is a plus. Familiarity with accounting software (e.g., QuickBooks or Xero) is a plus.
Technology Savvy: Experience with office management tools such as Slack, ChatGPT, Trello, Zoom, Microsoft Office Suite (especially Excel), and scheduling software.
HR Knowledge: Solid understanding of human resources functions, including hiring, onboarding, employee relations, and payroll management.
Organizational Skills: Strong multitasking and time-management abilities with an eye for detail. Capable of handling multiple priorities in a fast-paced environment.
Leadership: Ability to lead and motivate a team, manage conflicts, and foster a collaborative environment.
Communication Skills: Excellent written and verbal communication skills, with the ability to interact with various teams and departments effectively.
Problem-Solving: Proactive and solution-oriented, with the ability to identify challenges and resolve them efficiently.
Compliance Understanding: Familiarity with compliance and regulatory requirements in the pharmaceutical or healthcare industries is a plus.
