Operations Associate
The Operation Associate position is a role which involves Service and Delivery, Storage Administration and Transfers and Compliance. It is the Operations Associate's responsibility to ensure shipments and transfers are delivered on time without error that exceeds the expectations and needs of clients.
Essential Functions/Responsibilities:
Responsible for the movement of high value shipments from issuance of purchase order to delivery to final destination through interacting with employees, vendors and clients.
Manage inbound and outbound shipments on all platforms (Sprott Money website, collectibles website and Amazon)
Recommendations for inventory replenishment based on business requirements and client needs.
Leverage systems, equipment and process design to drive continuous improvement in cost, quality and efficiency.
Coordinate activities of businesses concerned with distribution of products.
Participate in planning activities such as sales promotions, coordinating with other department heads as required.
Participate in various financial activities such as negotiating rates, and managing expenses and preparing budgets within the department
Promote products and services at trade shows and conferences.
Coordinate and schedule storage client audits at various storage facilities
Set up client pick up and drop off at storage facilities
Manage, review and approve all storage applications and documents
Manage order cancelations, shipping and audit charges
Comply with all applicable company directives, policies, and procedures.
Contact suppliers, service providers, and end users to resolve order and shipment discrepancies.
Track and monitor priority requests, international shipments via wholesalers, verify packing lists and other documentation involving materials received from suppliers for delivery to clients at various sites.
Prepare customs documentation and ensure that shipments meet all applicable laws to facilitate the import and export of goods.
Determine and track duties and taxes payable and process payments on behalf of company and/or clients
Report all international shipments through Canadian Automated Export Declaration System (CAED) - Statistics Canada
Run all client names through FINTRAC lists and report findings to CFO
Arrange movement of inventory of US investments (such as IRA) and Canadian investments (such as RRSP, TFSA, LIRA, etc.) through vendors when necessary
Develop and maintain well-organized filing system that permits easy reference and rapid retrieval of information
Capable of heavy lifting up 35lbs
Answer client service line and answer client emails in professional and knowledgeable manner
Complete client sales order in an e-commerce system when necessary
Co-Manage Christmas campaign with marketing department, including shipment of gifts and cards to clients and vendors
Conduct research and market analysis periodically
Perform additional functions as directed or assumed on personal initiative
Skills, Knowledge, Qualifications and Experience:
Must be organized, able to prioritize tasks and detail oriented
High standards of ethics and confidentiality to handle sensitive information
Previous experience in Operations role and experience in management is required (minimum 5 years)
Previous experience working with an e-commerce system is required
Knowledge of Magento is not required but an asset
Excellent interpersonal and problem-solving skills
Written and oral communication skills
Strong knowledge of Microsoft Office programs
Ability to perform duties with speed and accuracy without immediate and constant supervision
Ability to exercise good judgment, show initiative and be proactive
