Job Overview:
We are seeking a highly organized and dynamic individual to fill the role of Physiotherapy Office Administrator in our well-established physiotherapy clinic. The ideal candidate will possess excellent leadership skills, strong communication abilities, and a background in healthcare administration. As the Office Administrator, you will play a pivotal role in overseeing daily operations, managing administrative tasks, and ensuring a seamless patient experience.

Duties:

Administrative Management:

Supervise and coordinate day-to-day administrative operations of the physiotherapy office.
Oversee patient scheduling, ensuring optimal utilization of therapist schedules and timely appointment bookings.
Provide training and support to staff on the use of office software and technology.
Communicate and liaise with medical clinics, and allied health professionals.

Financial Management:

Manage billing processes, including insurance claims, patient invoicing, and payment reconciliation.
Monitor and control office expenses, identifying opportunities for cost-saving measures.

Team Leadership:

Lead and motivate office staff, fostering a positive and collaborative work environment.
Help conduct regular staff meetings to communicate updates, address concerns, and facilitate team-building activities.

Patient Relations:

Ensure excellent customer service by managing front desk activities, addressing patient inquiries, and resolving issues promptly.
Collaborate with therapists to optimize patient care and streamline communication channels.

Compliance and Documentation:

Stay informed about healthcare regulations and ensure the clinic complies with all relevant laws and standards.
Oversee documentation processes, including patient records and confidentiality protocols.

Facility Management:

Ensure the clinic's cleanliness, safety, and functionality.
Manage inventory of office supplies and equipment, facilitating timely restocking as needed.

Qualifications:

1+ years of proven clerical &/or customer service work experience
Proficient in Microsoft Office
Excellent communication skills, both written and verbal
Resourceful and able to problem solve independently
Flexible availability, willingness to work weekends and evenings
Possesses excellent time-management skills
