Role Description

Reporting to the Manager of Service & Light Projects, the Service Coordinator/Dispatcher position is best suited for a candidate with strong administration skills as well as a construction background and a knowledge of the National Capital Region and surrounding areas. The successful candidate is organized, have excellent communication, quick to learn and able to work independently.

Responsibilities

Schedules and dispatches Service Technicians to appropriate locations according to customer requests, specifications, or needs;
Schedules all service calls according to priority and in a courteous, professional manner;
Invoices all closed work orders in a timely manner;
Provide support for Service Technicians timesheets review and distribution for approval to the Manager of Service & Light Projects;
Supports the Director of Finance in AP & AR service related tasks;
Maintains and organizes accurate information in the service management system in a timely manner;
Follows-up diligently (minimum weekly) with Service Technicians on all opened work orders;
Organizes weekly meetings with technicians for on-going work orders;
Handles customer inquiries and disputes;
Supports the Service Team in the preparation of procurement requirements (POs, prequalification, compliance, etc.);
Builds, maintains and communicates a pipeline for project related internal requests;
Prepares weekly WIP (open work order reports);
Prepares monthly WIP for review with the Manager of Service & Light Project and the Director of Finance;
Oversees proper operation of the service management software; and
Documents and maintains the service department policies and procedures.

Qualifications

1+ years prior Dispatch experience is required
Must have excellent customer service and communication skills (verbal and written)
Must have strong organization and time management skills and can easily multitask
Ability to operate in a fast paced environment with shifting priorities
Proficiency in Microsoft office applications (excel, word, etc.)
Working knowledge in a Construction Service software (Viewpoint Spectrum) is considered an asset
Bilingual (English and French) is considered an asset
Knowledge of the construction industry is an asset but not required
Security clearance required
