Project Manager (Institutional School)
Role and Responsibilities
Job Purpose:
The Project Manager is responsible for all aspects of project management, including, but not limited to, the management of: integration of company systems, procurement, scope, schedule, cost, quality, human resources, communications, risk, and stakeholders. The Project Manager works closely with the project team and stakeholders and maintains an excellent relationship with subcontractors and clients.
Job Description:
Procurement
Assist estimating in the tendering process as required.
Assist estimating with Trade Scope inclusions prior to tender CM projects.
Jointly develop a site utilization and sequence plan with Superintendent for review with trades during tender and buy-out.
Lead the subtrade buy-out process, with input from the estimating team, and in accordance with the PM manual.
Finalize subtrade contracts in a timely manner, prior to work commencing on site.
Optimize purchasing strategies, and company procedures during the procurement phase, and throughout the project.
Scope Management
Familiarize the project team with the terms of the original proposal, main contract, and project specifications.
Manage internal and/or external contractors or trades.
Manage trade contractor site meetings, RFIs, invoices and control document process.
Manage completion requests, tenant occupancy dates, and project close-out meetings and dates.
Manage project activities throughout the life cycle of the project, including the allocation of adequate resources, scheduling, documentation, budget and other elements required for success.
Plan, co-ordinate and/or supervise activities of all company personnel on assigned project(s).
Schedule Management
Utilize a CPM (Critical Path Method) Master Schedule on-site to its full capacity, and meet or beat the project milestones and schedule.
Prepare detailed construction schedules, track on a weekly basis, and report results.
Plan all project timelines, milestones, deliverables and micro-deliverables using the appropriate software tools and/or project-management methods.
Cost Management
Achieve the project budget and meet or exceed target net margin.
Track all project costs to ensure completion within budget to include;
Efficient tracking and use of labour, equipment and materials used by the crew.
Production tracking, input and reporting for self performed and critical subtrade units
Ensure Historical Reporting scopes are accurately tracked for close out review with Estimating
Payroll, timekeeping, labour coding, equipment coding, purchase- order coding, and safety reporting.
Verify the accuracy of change orders and ensure that they are signed by client in a timely manner, and prior to commencement of the work.
Closely monitor the activities and billing of third-party workers, such as consultants, contractors and other specialists.
Ensure payment of project invoices is received within agreed timeframes, and accounts receivable reports are current for assigned projects and timely payment of sub-trades and vendors.
Create contingency plans to mitigate financial risk.
Authorize/approve all project personnel transactions, purchase requisitions, change requests, etc.
Complete accurate monthly forecasts for all assigned projects.
Quality Assurance & Quality Control
Implement the company Quality Management system.
Review shop drawings prior to submission.
Safety Management
Implement and champion the company safety program.
Observe during site visits whether safe work practices are being followed.
Perform and complete monthly inspections.
Reinforce safety culture on all projects.
People Management
Prior to starting the project, complete a job specific responsibility matrix to delineate tasks for the team.
Co-ordinate the staffing needs of the site with the superintendent, construction manager and project director.
Organize project teams into suitable workgroups and guide the teams through their efforts to produce deliverables according to specification.
Communications
Act as primary liaison with clients, designers, site superintendents, subtrades and other project stakeholders.
Identify and resolve any conflicts within internal and/or external project teams, through team facilitation and discussion.
Provide construction direction and oversight to project team.
Provide direction to planning, scheduling and engineering functions as required.
Foster a culture of open communication and collaboration within and across teams.
Represent the company in a professional and positive manner. Building relationships with a view to gaining more business.
Stakeholder Management
Identify suitable service offerings for clients.
Provide recommendations to client on all bid summaries.
Maintain rapport with clients and design team.
Track project progress and report to stakeholders via a formal communications plan.
Conduct stakeholder meetings and forums in order to solicit feedback, input and expectations
Conduct Project End Book analysis in order to identify areas for improvement; make recommendations based on findings.
Liaise with client representatives, architect representative, subcontractors, etc.
Identify internal and external team issues, and attempt to resolve within the project team first.
Perform other duties that may be assigned as necessary.
Qualifications
Technical diploma in an appropriate construction-related field (CET), or equivalent construction experience.
Gold Seal Certification (GSC) or Gold Seal Intern (GSI) is considered an asset.
Construction / Engineering degree is preferred.
Five or more years of experience in commercial construction.
Three or more years of direct work experience in construction project management.
First aid skills and/or certificates are considered assets.
Solid understanding of all construction trades, safety and construction techniques.
Knowledge of local, provincial and federal workplace compliance regulations, ordinances, legislation and building codes.
Expertise in labour relations and procedures.
Commitment to working in a team environment, and good team-building abilities.
Strong integration and problem-solving skills.
Superior leadership qualities with a demonstrated track record of dealing successfully with internal and external clients.
Able to interpret and effectively manage multiple and competing priorities and timelines.
Understanding of contract fundamentals, experience in managing contractors under the terms of a contract.
Demonstrated success in project delivery and execution of project-management methods.
Highly effective negotiation, diplomacy and conflict-resolution skills.
Able to communicate effectively with staff at all levels of the organization - including labourers, technical staff, professionals and upper management - both verbally and in writing.
Able to build and maintain relationships with business units, corporate departments, key managers and other stakeholders.
Flexible - able to adjust to shifting priorities and deadlines.
