Company Overview
We are looking for a dependable, detail-oriented Service Coordinator to join our growing service team. Reporting to the Service Manager, this role is essential to ensuring our daily operations run smoothly and efficiently. The ideal candidate is reliable, high organized and thrives in a fast-paced environment where they can take initiative and follow through with minimal supervision.
Responsibilities:
- Act as the first point of contact for service inquiries, providing timely and professional responses.
- Prioritize, organize and attend to client requests and converting them to booked service calls to available services technicians.
- Coordinate and schedule service calls, aligning technician availability with customer needs and job priorities.
- Monitor ongoing jobs, follow up on service status, and ensure any further actions or return visits are required.
- Ensure all service documentation is complete, including technician notes, time entries and relevant attachments, so jobs are invoice ready.
- Verify that all job-related costs (labour, parts, materials, parking, etc.) are properly documented for billing and signed by the client.
- Following up with clients after service was performed
- Maintain up-to-date route and sequence changes to achieve the goal of best possible customer service in the most eDicient time and at least possible cost.
- Complete and submit technician timesheets to head oDice weekly, confirming alignment between time reported and service records and escalate discrepancies as needed.
- Ordering, following up, and coordinating shipment of parts
- Costing of parts on service orders for accounting so that they can be invoiced.
- Learn and utilize company software systems to support coordination and workflow.
- Assist with additional administrative or coordination tasks as assigned by the Service Manager

- Previous experience in service dispatch or operational coordination is preferred.
- Comfort with service scheduling or workflow software is an asset.
- Plumbing and/or HVAC knowledge and experience is an asset.
Salary: $60,000.00 - $70,000.00
