We are seeking a driven Executive Assistant / Junior Project Manager to work directly with our CEO, playing a pivotal role in our operations and client success.

  • 5+ years of professional office administration experience with a proven track record of working independently and efficiently.
  • Proficient in Microsoft Office Suite.

Key Responsibilities

Executive Support:

  • Manage and prioritize the CEO's calendar, emails, meetings, and travel arrangements.
  • Filter, organize, and respond to emails.
  • Support the Owner with both professional and occasional personal tasks.
  • Maintain an organized, well-run office environment.
  • Document and standardize workflows using SOP templates to create an internal resource library.
  • Proactively identify opportunities to optimize internal processes and minimize costs.
  • Ensure that deliverables are met on time with a focus on accuracy and high standards.
  • Holding a valid driver's license is a plus.

Project Ownership and Support:

  • Provide support and ownership of various client and internal projects as needed.
  • Monitor project timelines, track progress, and highlight potential delays or challenges.
  • Prepare project reports, presentations, and communication materials at a professional standard.
  • Act as a liaison between the Owner, team members, clients, and vendors to ensure smooth project execution.

Business Operations Support:

  • Develop and implement operational efficiencies across business processes.
  • Maintain digital and physical records for active projects.
  • Learn and leverage software tools to automate routine tasks and increase team productivity.
  • Conduct proactive follow-ups with internal and external points of contact to ensure alignment.
  • Solve problems resourcefully, proposing alternative solutions when needed.
  • Operate with minimal supervision while maintaining a strong sense of responsibility and accountability.

Administrative and Office Tasks:

  • Manage incoming calls, direct inquiries appropriately, and provide excellent front-line support.
  • Handle document scanning, filing, and database management.
  • Take meeting minutes and distribute action items to relevant stakeholders.
  • Oversee and support accounting as needed.
  • Coordinate courier services, deliveries, and general office logistics.
