Akkodis Canada and Adecco is currently seeking a Proposal Coordinator for an exciting internal opportunity in our local branch in Ottawa, Ontario.

Reporting to the Akkodis Director of the Proposal and Corporate Knowledge Centre in Ottawa, the Proposal Coordinator will serve as a shared resource between Akkodis and Adecco. This role entails sourcing, logging, ordering, and distributing potential business opportunities aligned with Akkodis' and Adecco's Lines of Business across multiple offices in Canada.

For Akkodis, the Coordinator will maintain and enhance the Akkodis Proposal and Corporate Knowledge Centre (PCKC) Bid-Log and file share structure with up-to-date information. They will also ensure timely resolution of BDC Inbox emails.

For Adecco, the Coordinator will collaborate with the Adecco Manager Proposals to establish a process for tracking and logging all potential opportunities to enhance understanding of potential lost revenues. Additionally, they will assess the file share structure and boilerplate repository for improvement opportunities and ensure timely resolution of Adecco bid inbox emails.

In collaboration Federal Government Services teams, this individual will facilitate, manage, and respond to THS proposals within their 24-48 hour timelines for both Akkodis and Adecco.

Job Summary

EDUCATION & EXPERIENCE:

  • Post-Secondary Education (college or university) with 1-2 years of office administration or writing/editing experience.
  • Experience in technical writing, freelance writing/editing, technical recruiting for Request for Proposals (RFPs), and account management with an RFP component are assets.
  • Familiarity with Canada Buys, MERX , and other tender websites for the release of business opportunities is advantageous.
  • Understanding of Canadian Federal/Provincial Government solicitations and contracts is beneficial.
  • Knowledge of Federal/Provincial Government or other procurement processes is advantageous.

SKILLS & OTHER POSITION REQUIREMENTS:

  • Excellent English communication skills, both verbal and written.
  • French language skills are an asset for responding to French solicitations.
  • Detail-oriented with a sense of urgency and adept at multitasking.
  • Ability to work well under pressure, multitask, and meet tight deadlines.
  • Excellent analytical and problem-solving skills, including critical thinking.
  • Team player attitude with a willingness to take direction.
  • Builds strong working relationships.
  • Advanced competency with MS Suite of Products, specifically Word and Excel, as well as strong research and web navigation skills.

ESSENTIAL DUTIES & RESPONSABILITIES:

  • Monitors and distributes business opportunities identified nationwide through tenders.
  • Assists team members in developing and producing proposals.
  • Sends questions to contracting authorities to seek clarity on solicitations.
  • Follows up on received RFPs and submitted bids.
  • Maintains and updates the corporate reference repository.
  • Maintains and updates the SA/SO Tri-Fold summary document
  • Maintains and updates the Excel proposal logs in OneDrive.
  • Maintains and updates process documentation specific to Proposal Coordinator functions in OneNote.
  • Reviews and responds to ATIP requests for information and submits ATIPs through the online portal, as required.
  • Coordinates proposal development and delivery of proposals for THS and level 1 complexity bids as assigned.
  • Follows established procedures for engaging work in developing proposals.
