Administrative Assistant / Receptionist

Maple is currently seeking an experienced Administrative Assistant / Receptionist to join our team at our Burnaby, British Columbia office.

As an Administrative Assistant you will play a vital role in keeping our office and project operations running smoothly. Reporting to the Director of Operations, you will provide administrative, project coordination, and office management support while helping create an organized and efficient work environment. This role is ideal for a proactive, detail-oriented professional who enjoys a variety of responsibilities, from supporting project teams and coordinating meetings to managing office operations, onboarding activities, and client-facing communications. Experience in a construction environment is an asset.

Responsibilities:

The Administrative Assistant / Receptionist assumes a wide range of responsibilities including, but not limited to:

  • Reporting directly to the Director of Operations the Administrative Assistant will take a lead role in managing and maintaining the administrative functions and activities in the office and to create a well organized and efficient work environment.
  • Assist the Director of Operations with travel planning, calendar and schedule, administrative support and expenses.
  • Support project teams with administration including filing, assembling documents, record keeping and meeting minutes.
  • Assist and support office and project teams in setting up general meetings, office events, social events and regular co-ordination meetings.
  • Maintain office and lunchroom supplies as well as telephones, printers and copiers.
  • Participate and lead the administrative in office process to on-board new team members and supporting HR at a regional level with staffing changes and movements.
  • Managing and coordinating the on site and off-site storage and document archives.
  • Managing and coordinating the local office lease and liaising with property manager in issues related to the office space.
  • Managing and coordinating the local vehicle fleet including insurance and maintenance compliance and scheduling of pool vehicle.
  • Shows initiative and creativity in the management of the office environment to anticipate the needs of the team and implement solutions.
  • Assist in preparation and assembly of Project Operations & Maintenance Manuals.
  • Professionally answer all incoming calls; greet all visitors in a friendly and professional manner.
  • Distribute daily mail, receive and process all courier packages in a timely manner.
  • Ship all packages by courier using appropriate courier service.
  • Knowledge of WorkSafeBC and safety an asset

Qualifications:

  • Minimum 5 years office experience or 3 years in the construction industry.
  • Proficient in MS Office and Windows-based computer applications (Word, Excel, Outlook, etc.).
  • Very detail oriented and ability to work and think independently and in a team.
  • Excellent organizational and co-ordination skills with the ability to effectively manage time, priorities and multiple tasks.
  • Valid driver's license.

Salary Range: $65,000 - $75,000 / Year (depending on experience)

Location: Burnaby, British Columbia
