Our Telecom group is currently looking to add a Project Administrator to our team on a 6-month term (with possibility of extension), based out of our office in Headingley, MB.

Reporting to the Project director, we are seeking a detail-oriented, self-motivated professional who thrives in a dynamic team environment and is eager to provide crucial support across Valard's projects. In this role you will coordinate procurement, invoicing, contract setup, and reporting activities that keep our telecom projects running smoothly.

Duties and Responsibilities
  • Create and issue purchase orders (POs) to vendors and subcontractors.
  • Review and receive invoices in JDE and validate them in APA.
  • Set up new vendors and maintain and update existing vendor records in JDE.
  • Set up new contracts in JDE for billing.
  • Create and process client invoices in JDE, distribute them to clients, and track invoicing status (fully invoiced, in progress, or not yet invoiced).
  • Manage approvals and invoicing of Telus jobs in Fieldglass.
  • Create new work order (WO) numbers for new projects and update contract values.
  • Prepare the monthly PNC report.
  • Update required documentation in Ivalua upon receipt of RFPs from Rogers.
  • Assist with month-end close.

Requirements

  • High School Diploma (or equivalent)
  • 2 years of related administrative or data entry experience
  • Knowledge of financial and project systems such as JDE, Fieldglass, Ivalua
  • Ability to analyze invoices, validate data, track costs, and prepare monthly reports.
  • Demonstrated understanding of purchasing and procurement processes
  • Proficiency with Microsoft Office
  • Strong organizational skills, attention to detail, and the ability to multitask effectively in a fast-paced construction environment
  • Flexibility and adaptability to take on additional tasks, troubleshoot issues, and support changing project needs.

Preferred Skills / Qualifications

  • Diploma in Business Administration
  • Experience with document control
  • Previous experience in a construction environment or working with a utility company
  • Experience using JD Edwards
