Position Summary

The Payroll & Benefits Specialist will be a key member of our administrative team, responsible for ensuring the accurate and timely processing of payroll and the effective administration of our employee benefits programs. The ideal candidate will be highly organized, possess a strong understanding of payroll regulations, and have a passion for providing exceptional support to our employees. This is a full-time, permanent position based in our main office.

Key Responsibilities
  • Process bi-weekly payroll for all employees, including new hires, terminations, and status changes.
  • Ensure compliance with federal, provincial, and local payroll tax laws and regulations.
  • Administer and manage all aspects of our employee benefits programs, including health, dental, vision, and retirement plans.
  • Act as the primary point of contact for employees regarding payroll and benefits inquiries, providing clear and helpful information.
  • Maintain accurate and confidential employee records within our HRIS, Rippling (Human Resources Information System).
  • Reconcile monthly benefit invoices and collaborate with our finance department to ensure accurate billing and deductions.
  • Assist with year-end payroll processes, including T4 and RL-1 preparation and reporting.
  • Stay up-to-date on changes in payroll and benefits legislation to ensure continuous compliance.
  • Generate and analyze payroll and benefits reports as needed for management.

Requirements

Qualifications and Skills
  • Experience: At least 3 years of experience in a similar payroll or benefits administration role. Experience with ADP is a plus.
  • Education: A college diploma in Human Resources, Business Administration, or a related field. Payroll Compliance Practitioner (PCP) certification is a strong asset.
  • Knowledge: Strong understanding of Canadian payroll legislation, including regulations for Quebec (CNESST).
  • Technical Skills: Proficiency with Microsoft Office Suite, especially advanced Excel skills (VLOOKUPs, pivot tables). Experience with HRIS and payroll software is required.
  • Personal Attributes: Exceptional attention to detail, strong organizational and time management skills, and the ability to work effectively both independently and as part of a team.
  • Language: Bilingualism in French and English (written and verbal) is required.
