The Calgary West Central Primary Care Network (CWC PCN) is a non-profit organization committed to a healthier future. We work alongside more than 490 family doctors to provide support for continuous health care.
We are seeking a Corporate Governance Coordinator to support our Governance & Organizational Operations team by assisting in the development, implementation, and maintenance of organizational frameworks and quality improvement initiatives. You'll also support the Privacy team with the execution of privacy functions, which includes compliance with privacy policies, managing documentation, and preparing relevant reports. Overall, you'll contribute to maintaining operational excellence and ensuring adherence to governance standards.
In this hybrid position, you'll work in-person at our office in Calgary two days per week (Monday and Friday), and three days from home (Tuesday, Wednesday, Thursday). Some additional in-office days and changes to which days are in office may be required based on operational needs.
Our office is located at 5966 Centre St SE, Calgary, AB T2H 0C1.
ResponsibilitiesCoordination
- Support the onboarding, training, and development of new members to the corporate councils, committees and working groups.
- Prepare and distribute agendas, create documents, and develop presentations for corporate council, committee, and working group meetings.
- Ensure effective communication with meeting participants, support the facilitation of meeting proceedings, and handle any follow-up actions required post-meeting.
Organizational frameworks and quality improvement
- Maintain and organize corporate documents and frameworks, including but not limited to ethics, patient safety, quality improvement, risk management, and diversity, equity and inclusion.
- Regularly meet with framework owners, staff and other stakeholders to ensure all team members understand all organizational frameworks and can apply them both to their day-to-day work and when considering new projects or programs.
- Ensure continuous alignment with Accreditation Canada standards, supporting the organization's readiness and compliance.
Risk management and business continuity
- Coordinate and support the maintenance and updates of the corporate risk management framework.
- Manage the upkeep and ongoing improvement of corporate business continuity plans.
Privacy support
- Support the Privacy team with research, document collation, report preparation, meeting coordination, and tracking operational indicators, while managing the privacy inbox and directing emails to the appropriate team members.
- Assist in the annual review of privacy policies and procedures and support the organization's audit of its record retention program.
- Coordinate the development and delivery of privacy training and education, including orientation for new employees, ensuring materials are current and aligned with organizational practices.
- Maintain accurate records of privacy incidents and breaches, assisting in report development and ensuring all privacy concerns are addressed.
- Coordinate privacy-related projects and initiatives, including conducting privacy impact assessments and reviewing business agreements.
Requirements
Education: A professional certificate or diploma in the areas of business management, non-profit management, privacy and information management, risk management, etc. is required. Equivalencies of education and experience may be considered.
Experience: Two - three years' professional administrative experience such as supporting organizational operations, office management, or Executive Assistant experience is required. One - two years' experience with administrative support with regards to privacy support, organizational risk management and/or corporate governance is an asset.
Functional knowledge: Document preparation (writing, proof reading, editing, formatting, design).
Technical: Experience with Microsoft Suite, including Word, Excel, Outlook, PowerPoint, and Visio. Experience with collaboration software, such as Monday.com.
Background check: A clear Criminal Background check is required to start.
