Program Manager
Reports to: Executive Director
Position Summary
The Program Manager provides leadership and oversight to residential support homes in the community. Providing overall care and support, the Program Manager will nurture and develop relationships with the individuals and internal and external support networks. Overseeing effective individual support and ensuring it aligns with the organizational values, goals, and support delivery standards to ensure support needs are consistently met.
Qualifications
- Minimum 3 years experience working with individuals with intellectual disabilities.
- Minimum 3-5 years experience in a leadership role
- Have been consistently employed for a minimum of one year or have prior management experience in this field.
- Valid certification in emergency First aid and CPR
- Clear criminal record check, adult abuse registry check and child abuse registry check (if applicable) and/or vulnerable Sector search
- Post-secondary education required- , nurse, social worker, human services, developmental support worker certificate, or a combination of related education/experience
- Possess a working knowledge of disability sector, Mental Health and/or Child and family services.
- Strong knowledge and demonstration of the guidelines of the Protection of Persons in Care Act
- Training in crisis prevention training
- Training in a Trauma Informed approach
- Willingness to continue training and education by attending company and regional courses/workshops.
- Valid driver's licence and access to a vehicle
- Above average communication skills (both written, oral, and verbal) organizational skills, the ability to work effectively within a team environment, sound decision making abilities and the capacity to work with minimal supervision.
- Level 6 English (CLB)
- Ability to foster a team approach within the home.
Responsibilities
Communication:
- Develop and maintain positive and effective communication with the individuals(s) and their families, management, co-workers, and all others that are involved in the individual's care.
- Complete comprehensive Support assessments utilizing the tools, forms and processes Ensure individual support plans meet the needs of the individual and the support workers have the skills, experience, and training to fulfill the support plans: identify training needs of staff.
- Maintain and review established logs (individual and communication logbooks, medical records, food intake, progress notes, evaluation of program) daily and address any needs or concerns- manager responsible - PM is accountable.
- Read all meeting minutes, log entries, incident reports and memo's; conduct daily morning reports with manager staff.
- Prepare/review IR's and ensure that they are submitted to the appropriate team member in a timely manner as set out by the funding partner.
- Attend and participate in all relevant meetings (i.e.: staff meetings, individual planning, and identified training courses.
- Reflect staffing changes on the monthly schedule and notify the office (Kerri)as they occur.
- Complete and/or ensure all regular performance evaluations done at 3 months following employment (probationary period), and one year thereafter.
- Organize and attend house inspections as needed.
- Provide staff coaching and discipline as needed. Keep records to indicate all staffing issues are recorded.
- Abide by confidentiality parameters.
- Participate in on-call rotation, ensuring immediate response to incidents and concerns:
- Hire staff and ensure proper paperwork is acquired and sent to Business Manager
- Train staff (general orientation, house orientation and client orientation) in collaboration with house manager
- Ensure training of staff is tracked. When staff training has expired, ensure staff have their updated training and it is documented and tracked accordingly.
Safety
- Become knowledgeable of all safety features and operation of all equipment in homes and ensure all equipment is in working order.
- Ensure that the condition of the home is kept to licensing standards.
- Ensure and maintain up to date knowledge of fire regulations and emergency procedures.
- Ensure all monthly fire drills are completed and registered.
- Ensure hazardous materials and refuse are stored and disposed of properly and staff are trained.
- Ensure safe storage of medications.
- Ensure food is stored and handles safely.
- Ensure adequate supervision in identified risk areas.
- Minimize risk and report and respond to unsafe conditions.
- Recognise and respond to concerns of abuse and neglect.
Health
- Ensure that the physical, emotional, intellectual, and spiritual needs of the individual(s) are being met.
- Follow all current instructions from professionals (doctors, physiotherapists, dieticians, etc.)
- Develop/follow a meal plan for the individual(s) considering individuals who are on a restricted diet. Ensure that food is handles and stored safely.
- Ensure support workers are administering medications accurately and ensure documentation is correct.
- Ensure medications, medical supplies, and other supplies are ordered, as necessary.
- Follow procedures for infection control.
- Participate and lead training for support workers. Identify needs and ensure that training is complete and support worker are competent in skills learned.
Self direction and Management (House manager /RSW responsible, program manager accountable)
- Assist individual(s) with all aspects of daily living needs.
- Encourage individual independence, choice, and self expression.
- Act as a role model to assist the individual in the development of life skills.
- Implement action plans as per Active Support Plan
- Encourage and assist the individual(s)to participate in the daily activities and responsibilities of their personal life and their home.
- Ensure the day-to-day programming, social events, appointments for the individual(s)are planned and followed through.
Relationships and Community Development(accountable)
- Become knowledgeable of the individual(s) skills, abilities, interests, and care level.
- Support access to community options which promote participation and presence.
- Assist the individual(s) in the development of friendships and positive relationships within the community by utilizing principals of normalization and inclusion.
- Teach and assist the individual to develop positive social interactions.
- Plan and provide leisure activities.
Financial Management (if required)
- Assist the individual with management of personal funds on a day-to-day basis e.g., ensure staff know how to teach this skill, support as required.
- Support managers to ensure records of house petty cash and/or the individual(s)personal cash, balance both daily, and submit to the office at end of mouth.
- Ensure individual banking (may require acting as a co-signer)
- Review budget and ensure ordering and/or purchase house groceries and supplies, keeping within the budget.
Organizational
- Respect and protect the individual's personal belongings, home furnishings, equipment, decorations etc.
- Adhere to policies and procedures of the individual care plan, the protection for persons in care, the company employee handbook, and all other pertinent legislation (i.e., Human rights code, etc.) and immediately report any infractions of the above
- Ensure a monthly schedule for shifts has been prepared in a timely manner, keeping in consideration the necessity of overtime is avoided whenever possible.
- Ensure all scheduled shifts are being fulfilled.
- Provide assistance to employees if they are having difficulty finding a replacement employee to work an assigned shift that they are unable to work themselves. Employee must have a valid reason for not being able to fulfill their own shift.
- Review and verify timesheets, on a weekly basis, and submit to office by deadline.
- Review house meeting minutes
- Provide orientation and training to new and existing employees as required.
Any other duties as assigned.
