HEALTHCARE ONBOARDING SPECIALIST
Full-Time | Remote (Canada) | Women's Health

ABOUT THE ROLE

We are looking for a highly organized and personable Healthcare Onboarding Specialist to guide physiotherapists, OB/GYNs, and other healthcare providers across North America through the onboarding process for our women's health medical device. You will be the first point of contact for new providers - conducting short virtual onboarding calls, delivering clear product education, and ensuring a smooth activation experience. This full-time remote role requires availability across multiple North American time zones (EST through PST).

WHAT YOU'LL DO

  • Conduct short, structured virtual onboarding calls with healthcare providers (physiotherapists, OB/GYNs, and related specialists) to introduce and activate them on our product
  • Clearly and confidently communicate product information, clinical context, and key use cases in a way that resonates with medical professionals
  • Manage scheduling and coordinate calls across EST, CST, MST, and PST time zones
  • Complete thorough post-call follow-up, including sending resources, answering outstanding questions, and confirming next steps
  • Maintain accurate, up-to-date records for every provider interaction in our CRM
  • Track onboarding progress and flag providers who may need additional touchpoints or support
  • Collaborate with internal teams to relay provider feedback and surface common questions or barriers
  • HCP inbox management - monitoring and responding to provider inquiries
  • Welcome emails - prompting providers to book their onboarding call
  • Tracker navigation - keeping tabs on booked vs. outstanding outreach
  • Fulfillment triggering - sending demo kits and brochures through third-party logistics
  • Post-onboarding check-ins - following up with HCPs to gather feedback and help grow the provider channel
  • Proactively check in with HCPs after onboarding to understand their experience, gather feedback, and identify opportunities to grow and strengthen our provider channel
  • Maintain accurate, up-to-date records for every provider interaction in our CRM

WHAT WE'RE LOOKING FOR

  • Strong communication skills with the ability to explain a medical product clearly to a clinical audience
  • Highly organized with excellent follow-through and attention to detail
  • Comfortable with CRM tools and diligent about maintaining accurate records (experience with HubSpot, Salesforce, or similar is a plus)
  • Ability to quickly absorb and retain product knowledge and clinical data in a women's health or medical device context
  • Professional, warm demeanor that builds trust with healthcare professionals quickly
  • Must be located in Canada and available to work across North American time zones as needed

NICE TO HAVE

  • Bachelor's degree in science, considered an asset
  • Bilingual - fluent in English and French (written and spoken) to support providers across Canada and the US
  • Background or interest in women's health, pelvic health, or physiotherapy
  • Prior experience in a healthcare sales, patient education, clinical liaison, or medical education role
  • Familiarity with clinical onboarding workflows
  • Experience presenting to or working alongside clinical professionals
