Our family health practice located in Moncton, NB, is offering an opportunity for a dedicated Medical Office Assistant to join our growing team on a full-time, permanent basis. Key Responsibilities, as required/applicable:

The Medical Office Assistant serves as the primary point of contact for patients and acts as an important link between patients, providers, and the clinic team. Key responsibilities within this role include (but are not limited to):

  • Serves as the primary point of contact for patients, helping to facilitate timely access to care and clinic services.
  • Provides a welcoming, professional, and responsive experience to all patients, contributing to a positive patient experience and supporting continuity of care.
  • Coordinates incoming and outgoing clinic communications by answering inquiries by phone, electronically, and in person in a helpful, respectful, and efficient manner.
  • Manages and maintains appointment schedules and provider calendars by coordinating appointment bookings, reminders, follow-up communications, and administrative care navigation.
  • Maintains electronic medical records through Electronic Medical Record (EMR) software.
  • Processes scanning, faxes and electronic documentation.
  • Supports the efficient day-to-day operation of the clinic through a variety of administrative activities.
  • Provides support for patient flow activities.
  • Orders and receives office and medical supplies.
  • Performs billing procedures.
  • Prepares and processes clinic mail.
  • Ensures patient confidentiality and privacy in all communications and administrative activities.
  • Performs other related administrative or special tasks as required.

Experience/Education required:

  • Experience as an administrative professional within a medical environment is considered an asset.
  • Medical office administration diploma or equivalent education/experience is an asset.
  • Experience using an electronic medical record software (EMR) is an asset.
  • Experience with physician billing processes is considered an asset.
  • Experience managing referrals and specialist consultations is considered a strong asset.
  • Familiarity with medical terminology.
  • General knowledge of the New Brunswick medical system is an asset.

  • Strong computer literacy and proficiency with Microsoft Office applications.
  • Ability to multitask and prioritize effectively in a busy clinical environment.

  • Due to daily operational needs, proficiency in English and French are required.

Working Conditions & Location:

  • The Medical Office Assistant position requires availability to work 8 hours daily from Monday to Friday. This schedule excludes weekends, and statutory holidays.
  • The successful candidate will be expected to primarily work on-site. Occasional remote work may be available based on staffing and operational needs. Candidates must be able to work on-site full-time if required.
  • The clinic is building a growing interdisciplinary team that includes two (2) primary care physicians, a Registered Nurse (RN), and administrative support staff members.
  • The clinic is located at 120 Morton Avenue, Moncton NB.

Compensation:

We offer a competitive compensation package within the range of $27-$30 per hour. Placement within the range will be determined based on the successful candidate's experience, qualifications, and relevant skills.

Specific start date will be determined with the successful candidate.
