The Alzheimer Society is the leading not-for-profit health organization working nationwide to improve the quality of life for Canadians affected by Alzheimer's disease and other dementias and advance the search for the cause and cure. Job Summary

The Executive Assistant will play a critical role in supporting the Executive Director, Management team and board of directors, leading internal strategic communications, cross-functional projects and organizational initiatives. Reporting to the Executive Director, this position is responsible for managing strategic projects and supporting organizational communications. They need to be a highly organized and proactive team member to help drive efficiency in a fast-paced environment. The successful candidate will possess excellent communication capabilities, strong project management skills and a passion for organizational effectiveness in a mission-driven environment.

Typical Duties and Responsibilities

  • Design, implement and continuously improve systems and procedures that enhance efficiency
  • Maintain a high level of discretion and judgment in handling confidential and sensitive information
  • Manage complex calendars, schedule meetings, and coordinate travel arrangements
  • Prepare and edit correspondence, presentations, and reports
  • Handle confidential information with integrity and discretion
  • Organize and maintain filing systems (digital and physical)
  • Act as a liaison between the executive team and internal/external partners
  • Manage logistics and materials for meetings, ensuring clarity of objectives, accurate documentation, minutes and timely follow up
  • Assist in administrative duties or responsibilities
  • Travel as required

Qualifications

  • Proven experience providing executive level support in government, public sector or not for profit environments
  • Experience coordinating Board or governance-related activities
  • Sensitive to the impact of Alzheimer's disease on the individual and the family
  • Must be approachable, have solid communication skills, active listening skills and a positive attitude
  • Ability to take initiative and approach work independently with minimal supervision
  • Demonstrated experience managing competing priorities in complex and high-profile settings
  • Strong organization, interpersonal and problem-solving skills with the ability to work independently
  • Experience developing and refining systems and processes to increase executive and organizational efficiency
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and collaboration tools (e.g., Google Workspace, Slack, Zoom)
  • Ability to anticipate needs and exercise sound judgment
  • Possess a valid NB driver's license and be available to travel within the region
  • Ability to work outside regularly scheduled hours as required
  • English is a requirement, and French is considered an asset
