Description
The College of Physicians and Surgeons of New Brunswick (CPSNB) serves and protects the public by regulating the practice of medicine in the province. With over 20 employees, the CPSNB is currently seeking an Administrative Assistant for the Practice Ready Assessment - New Brunswick (PRA-NB) program.
The ideal candidate is a proactive, motivated self-starter and fast learner who thrives in a fast-paced, deadline-driven environment. They are highly collaborative, detail-oriented, and adaptable-able to anticipate the needs of the team and provide timely, effective support to ensure smooth daily operations.
Key Responsibilities
As Administrative Assistant for the PRA-NB, you will support the operational administration that will best ensure the success of the program and other related duties as required by the CPSNB, the Clinical Director, and the Program Manager.
Screening and selection of candidates
- Facilitate the processing and documenting of candidate applications
Orientation of candidates/assessor training
- Support the scheduling of meeting rooms and activities, including but not limited to, speakers, accommodation, facilities, catering, audio-visual equipment, technology, documents, printing, and correspondence
Clinical Field Assessment
- Support the scheduling of meeting rooms for assessor training, including but not limited to catering, audio-visual equipment, technology, documents, printing, and correspondence
General
- Provide high quality administrative support including meeting agendas, meeting notes and document preparation
- Create, transcribe, edit, format, and update documents including but not limited to letters, memos, minutes, presentations, agendas, manuals, reports, forms, charts, brochures etc.
Required Education and Experience
- Completion of a recognized post-secondary administrative assistant program
- An equivalent combination of education and experience may be considered.
- Minimum three (3) years of administrative and customer service experience is preferred.
- Experience providing clerical assistance in a meeting planning environment or with programs having multiple components is preferred.
- Experience working within a University, Government or Community Health environment is considered an asset.
- Proven professionalism and experience successfully meeting firm deadlines, is necessary.
Knowledge, Skills and Abilities
- Bilingual (English and French)
- Demonstrated strong organizational and time management skills, with the ability to manage multiple tasks and meet deadlines consistently.
- Ability to maintain meticulous attention to detail and ensure accuracy, proficiency in all aspects of clerical work and sound knowledge of office processes.
- Reliable with demonstrated professional maturity and judgement; effective interpersonal and communication skills, both written and verbal.
- Ability to handle interactions with tact, diplomacy and intercultural sensitivity.
- Ability to take initiative, learn and adapt; ability to work independently as well as collaboratively.
- Proficiency entering and retrieving data and reports from a database; and demonstrated computer skills including intermediate to high proficiency with Microsoft Office Suite (Word, Excel, PowerPoint and Outlook).
