We are a fast-paced, high customer service real estate office based in Airdrie and Calgary. At Baptist Real Estate Group, we're passionate about providing an exceptional client experience from start to finish — and we take that responsibility seriously.

We're looking for someone who lives for organization and thrives in a fast-paced environment. You'll be managing hundreds of moving parts behind the scenes, and loving the satisfaction of keeping things running smoothly.

Tyler Baptist, the owner of Baptist Real Estate Group, is an experienced real estate agent who is actively serving buyers and sellers in the Airdrie and Calgary areas. She needs a capable and trustworthy right-hand person to help manage the operational side of the business so she can stay focused on serving clients.

OUR IDEAL PERSON

Please only apply if you have most of these qualities — this list matters!

  • Speaks and writes English fluently

  • Lives in Southern Alberta - Airdrie or Calgary or within a radius of 1 hour of the city - Although most of the work will be remote there is sometimes a need to deliver things or meet in person which makes living in the area a must.

  • Has previous Executive Assistant or Admin experience

  • Incredibly organized

  • Confident and calm under pressure

  • Comfortable with a variety of software tools

  • Friendly, respectful, and people-first

  • Thrives in a creative (sometimes chaotic!) environment

  • Familiar with MLS/Pillar9/NexOne/Follow Up Boss is a bonus

  • Office management experience

  • Knowledge of design tools, social media, and website design is an asset

  • Comfortable coordinating mailouts via Canada Post

  • Brings positive energy and keeps calm during stressful moments

  • Bookkeeping experience is a plus

  • Skilled in Excel, Word, Google Workspace

  • Wants to be valued and appreciated

  • Eager to learn and grow through great training

HOURS

Monday to Friday: 3 to 4 hours per day between 9:00 AM – 2:30PM flexible on hours and could lead to more as needed.

WAGE

$20.00–$25.00/hr (based on experience)

JOB OVERVIEW

  • Manage all the administrative steps in buying and selling a home

  • Prep Occasional Offers

  • Upload Listing Details online

  • Order photos, measurements, videos, and signs for new listings

  • Lockbox management

  • Digital File Management

  • Update and manage client information management in a CRM

  • Work directly with real estate brokerage submitting completed paperwork

  • Dealing with clients administratively as needed

  • Run the deal-by-deal client survey

  • Mail out support

  • Lead management

  • Event planning support

  • Coordinating client gifts

  • Take forwarded calls on occasion

  • Manage Calendar

  • Manage commission tracker

  • Send out newsletter

  • Manage nurture systems

  • Be on call for emergencies / on fire moments

  • Basic bookkeeping and admin tasks
