PXO is seeking an organized, proactive, and detail-oriented Studio Assistant to provide comprehensive support across various teams and departments. This individual will be responsible for assisting in project coordination, vendor management, procurement, team coordination, scheduling meetings, and other administrative tasks. The ideal candidate will be a multitasker with strong communication and demonstrate autonomy by managing key aspects independently, while aligning with overall team objectives.
Responsibilities:
- First point of contact for general Toronto studio inquiries by email and phone.
- Manage the studio post and deliveries/couriers as requested.
- Respond to email and phone general inquiries.
- Ensure the studio environment is kept tidy and organized, that the kitchen is stocked with essentials for staff.
- Organize and check in guests and ensuring NDAs are completed.
- Organize logistics for meetings, including room bookings and refreshments
- Welcome new starters to the studio on their first day- studio tours and introductions. Post ‘Shout outs' on the company social channels
- Raise Shopping carts/PO's for all purchases through the Toronto studio as required.
- Travel and accommodation - book and arrange travel, transport and accommodation and support/advise other Studio teams on accommodation/travel where staff are travelling to Toronto. Share full detailed itineraries with employees.
- Advise staff on the travel and expense process and ensuring payments are approved and sent to finance in a timely manner in alignment with the policy.
- Support the leadership team with administrative support/meeting organization and minute taking where required.
- Organize team-building events and social outings, handling all logistics and invitations. Proactively research and make suggestions for activities for all teams to the leadership team in Toronto for consideration (e.g. summer events, socials, games nights, quizzes, outings)
- Assist with on-boarding new team members and ensuring smooth integration into the company culture.
- Assist with obtaining vendor quotes based on BOM and tracking procurement processes, ensuring purchase orders and invoices are processed correctly.
- Maintain inventory records, labelling equipment, and updating tracking systems as necessary.
- Pack all relevant equipment on skids to the designated destination understanding the logistic requirements for loading and offloading equipment.
- Create commercial invoices and coordinate with broker, and receiver about shipments.
- Support with the procurement of consumables and assist with managing credit card purchases.
- Assist projects, when necessary, in taking detailed notes and attend meetings.
- Assist Finance department with credit card reconciliation.
Requirements

- Proficient in Microsoft Office Suite (Excel, Word)
- Detail-oriented with a focus on accuracy and maintaining consistent records.
- Flexible and adaptable, with a strong willingness to learn and take on new responsibilities.
- The role will involve driving and moving equipment/items locally so a drivers licence access to a vehicle is required.
- The ability to lift up to 50 lbs and assist with physical tasks is required.
Desirable Skills:
- Experience working on set.
- Background in creative fields (animation, graphic design, film, or media).
- Interest in emerging technologies (AR, VR, AI, etc.)
- Experience with event coordination for creative/tech-related events.
