Brief Overview:
The Human Resources Generalist, under the direction of the Senior Human Resources Business Partner, will be responsible for providing HR support to the team in a variety of HR related responsibilities. The incumbent will support in the following areas: Internal/ External Communications, Talent Acquisition & Onboarding, Health, Safety & Employee Wellbeing, Learning & Development, and other HR programs.
Responsibilities:
Internal/ External Communications
- Responsible for updating the company Intranet site including regular and monthly updates and sending out relevant intranet communications.
- Assist Senior HR Business Partner and the team with monthly wellness initiatives and promote initiatives through company communications.
- Send out internal communications as it relates to new hires, promotions, employee celebrations, L&D initiatives, etc.
Talent Acquisition & Onboarding
- Maintain & update the Applicant Tracking System.
- Screen and shortlist candidates by reviewing resumes and applications, followed by conducting interviews and assessments to evaluate qualifications and cultural fit.
- Attract and engage potential candidates by managing job postings across a variety of platforms and leveraging recruiting tools such as databases, social media, and professional networks.
- Work with hiring managers to prepare drafts of new job postings for review by Senior HR Business Partner.
- Participate in the 1st round of interviews and coordinate successful 1st round candidates to be interviewed by the hiring manager or relevant team members.
- Send follow up communications for both successful/ unsuccessful candidates.
- Conduct reference checks and background verifications as required.
- Manage and maintain effective relationships with employment agencies and external recruitment partners to support staffing needs.
- Facilitate onboarding presentations for new employees and coordinate with the Senior HR Business Partner and cross-functional departments to ensure all required information, resources, and equipment are in place prior to the employee's start date.
- Lead the planning and execution of college and university career fairs, student outreach initiatives and etc.
- Set-up of new hires in Citation Canada, Intranet site and follow up with new hires in the completion of documents, training, etc. as requested by the Senior HR Business Partner.
- Coordinate and support the onboarding process through ADP, ensuring new hires are properly set up and welcomed into the organization.
- Serve as the primary point of contact for new hires during their onboarding period, addressing questions and concerns.
- Facilitate introductions between new hires and their teams and ensure proper alignment with the manager.
- Assist in the preparation of onboarding documentation, including employment contracts, staff IDs, and office resources.
- Conduct 30-day new hire check-ins and collect feedback to share with hiring managers.
Health, Safety & Employee Wellbeing
- Assist the Senior HR Business Partner in updating the Health & Safety Training Matrix for training requirements, maintain records of all health and safety-related training and assist in the development of rollout programs.
- Upload new/current employee's health & safety certifications to ADP.
- Participate in the Joint Health & Safety Committee.
- Assist the Senior HRBP in researching new Health & Safety legislation to ensure company compliance.
- Ensure safety and announcement boards remain compliant and up to date by regularly posting required health & safety information, as well as company announcements.
Other Duties
- Maintain and update the employee personal folder on ADP.
- Generate and analyze HR reports and metrics from the HRMS to support strategic decision-making.
- Assist the Senior HR Business Partner with a variety of hr duties, re: legislative, special assignment, etc.
- Manage onboarding, offboarding, and employee lifecycle changes through HRMS workflows, including new hire data entry, orientation scheduling, exit documentation, and timely updates for promotions, transfers, and compensation adjustments.
- Deliver training and support to new hires and develop instructional materials such as manuals and job aids to facilitate effective onboarding and role readiness.
- Support performance management and employee relations by assisting with evaluations, documenting workplace issues, and helping HR with conflict resolution, disciplinary actions, and terminations.
- Assist with internal and external training initiatives.
- Facilitate training and development programs, monitor participation and certifications, and evaluate program effectiveness through feedback and outcome assessments to support continuous improvement.
- Provide employee information to the Payroll & Benefits coordinator, as requested.
- Own and manage the ADP platform for all HR activities.
- Assist with other duties and projects as assigned.
Required:
- Post-secondary education in Human Resources Management along with 3-5 years of relevant experience.
- A CHRP designation or working towards a CHRP designation.
