Regional Events Coordinator

We are seeking a permanent, full-time Regional Events Coordinator to support the firm's event, sponsorship and practice group initiatives across all provinces.
SUMMARY OF RESPONSIBILITIES
- Using best practices in event planning, provide end-to-end planning, execution and on-site coordination of regional client and internal events, such as seminars, webinars, receptions and conferences.
- Create and maintain event management documents including timelines, budgets, checklists, attendance, dietary requirements and run sheets.
- Oversee the contact management process with lawyers to develop and maintain up to date client mailing lists.
- Write, design and distribute event invitations using the firm's e-vite and related software, including tracking RSVPs.
- Assist in the creation of post-event reports and provide key insights.
- Evaluate practice group sponsorship opportunities and coordinate sponsor benefits including promotional assets, speaking opportunities and planning related events.
- Ensure practice group memberships are maintained and up to date, and coordinate renewals.
- Coordinate and schedule practice group meetings, including attendance at all meetings.
- Provide support to the Request for Proposals response process including sourcing and compiling accurate and timely information.
- Provide administrative support to the department, including processing expenses, maintaining inventory of event supplies, preparing and shipping materials, completing errands, and other, as needed.
SKILLS & QUALIFICATIONS
- A University degree or diploma in marketing, communications/public relations, business, or a related field.
- Experience working in a law firm, professional services environment and/or advertising agency is considered an asset.
- 2-3 years of experience as a Marketing or Event Coordinator, or equivalent role.
- Proven experience in planning and executing small and large scale in-person and virtual events to the highest standard, including coordinating outside vendors.
- Proficient with Microsoft Office - Word, Excel, PowerPoint, Outlook, Teams.
- Experience with event-related marketing tools including CRM, survey and email/invitation marketing software, and Zoom.
- Self-motivated and detail-oriented with superior organizational skills and a proven capacity to manage multiple priorities and solve problems proactively.
- Excellent writing and interpersonal skills.
- Ability to work outside of regular business hours as needed.
- Some inter-office travel may be required.
This position is based in Halifax, NS and offers a hybrid work arrangement, with a mix of in-office and remote work based on business needs.
