Duration: December 2025 to May 2026
Salary Range: $19.31 to $23.32 per hour
Reporting to the Business Development Operations Manager, School of Professional & Part-Time Learning the Administrative Assistant will provide administrative support in the general office.
In this role, you will:
- Answer and direct phone calls / Respond to, and emails pertaining to the PPL courses and send faxes and forms when required.
- SIMS - Schedule classes by using the proper course codes from the IDMS, enroll, grade and discontinue students in customized training.
- Maintain filing system (physical paper copies and electronic).
- Document Control, ensuring the student files are up to date with course requirements (transcript of Marks, NBCC registration forms).
- Document Control - updating program workbooks with expenses.
- Sending Registration forms to SSR to obtain Student ID numbers.
- Order office supplies and research new suppliers.
- Maintain contact list of clients and potential students utilizing the Teams enquiry list for PPL.
- Provide general support to visitors and students, answer general enquiries.
- Order office supplies, organize and store delivered items, maintain inventory, research new suppliers, and process departmental ERPs in a timely manner.
- Any other duties as assigned by the Manager.

Education/Experience:
- Certificate or Diploma in a relevant field, with demonstrated recent and related work experience.
- Demonstrated experience working in a client service setting.
Technical Skills:
- Demonstrated ability to navigate in a computerized and systems environment across multiple tools and platforms.
- High degree of proficiency with Microsoft Office Suite.
- Proven ability to be creative, innovative, and be able to use technology effectively.
Professional Skills:
- Organization and communication skills.
- Ability to work professionally with a diverse group of people, personalities and backgrounds.
- Demonstrated ability to clearly receive, retain and transmit information.
- Accuracy, and attention to detail.
